Introduction
We are looking for a professional, well-organized, and customer-oriented Front Office Executive to manage our reception area, handle administrative tasks, and provide excellent customer service. The ideal candidate will be the first point of contact for visitors and clients, ensuring a warm, welcoming, and efficient experience at the front desk.
This role requires excellent communication skills, a pleasant personality, and the ability to multitask effectively while maintaining a professional demeanor at all times.
Key Responsibilities
1. Reception & Guest Handling

Greet and welcome visitors, clients, and customers with a positive attitude.

Manage incoming guests, provide information, and guide them to the right departments.

Ensure the reception area is clean, organized, and presentable at all times.
2. Telephone & Email Communication

Handle incoming calls, direct them to the appropriate department, or take messages.

Manage outgoing calls, emails, and official correspondence in a professional manner.

Respond promptly to inquiries and provide accurate information to clients and customers.
3. Appointment Scheduling & Coordination

Maintain and manage appointment calendars for management and senior executives.

Schedule and coordinate client meetings, interviews, and conference calls.

Follow up with internal teams to ensure smooth coordination of daily activities.
4. Administrative & Clerical Support

Maintain and update visitor logs, employee attendance, and office records.

Handle filing, documentation, courier management, and office supplies inventory.

Support HR and administrative teams in day-to-day operations when required.
5. Customer Service & Relationship Management

Address customer queries and complaints professionally and escalate issues if needed.

Ensure every visitor and client receives a seamless and satisfactory experience.

Act as a bridge between management, staff, and external stakeholders.
6. Security & Compliance Management

Coordinate with security personnel to monitor visitor access and maintain safety protocols.

Ensure compliance with company policies, front office standards, and data privacy guidelines.
