Key Responsibilities
1. Front Desk Operations Management

Oversee the daily operations of the front office and reception area.

Ensure that the reception is neat, presentable, and well-organized at all times.

Supervise and guide the front office team to provide exceptional customer service.

Greet visitors warmly and ensure a smooth check-in/check-out process.

Handle incoming calls, emails, and messages promptly and professionally.
2. Guest Relations & Customer Service

Serve as the primary point of contact for visitors, clients, and vendors.

Provide accurate information about the company’s services, departments, and procedures.

Resolve guest complaints and issues effectively to ensure high customer satisfaction.

Coordinate with relevant departments to handle special client requests and requirements.

Maintain a customer-centric approach while managing front office activities.
3. Staff Supervision & Training

Lead and manage the reception staff, front office executives, and support personnel.

Assign daily tasks, monitor performance, and ensure efficient workflow.

Train team members on customer service, phone etiquette, and company policies.

Conduct periodic performance reviews and provide constructive feedback.

Foster a positive and collaborative team environment.
4. Administrative Coordination

Maintain visitor logs, appointment schedules, and meeting room bookings.

Manage courier services, incoming/outgoing mail, and front office supplies.

Handle petty cash and maintain expense records for front desk operations.

Prepare and submit reports on front office activities, visitor statistics, and issues encountered.

Assist HR and Admin teams in coordinating interviews and onboarding sessions when required.
5. Security & Compliance Management

Ensure visitor verification and maintain strict access control.

Work closely with the security team to manage safety protocols.

Ensure compliance with organizational policies, health regulations, and safety guidelines.

Monitor CCTV footage and maintain a record of security incidents, if any.
6. Coordination with Internal Departments

Act as a liaison between management, employees, and visitors.

Work closely with other departments, including HR, Admin, Accounts, and Operations, to ensure seamless coordination.

Share important information, schedules, and updates with relevant teams.

Assist management in planning company events, meetings, and conferences.
