Job Summary

We are seeking a smart, courteous, and customer-oriented Front Office Receptionist to be the face of our 3-star hotel located in Manipal. As the first point of contact for all guests, the ideal candidate must possess excellent communication skills, a welcoming attitude, and strong computer proficiency. This role is crucial in ensuring a positive guest experience from check-in to check-out.

The receptionist will be responsible for handling front desk operations including guest registration, room allocation, answering guest inquiries, managing bookings, and providing administrative support. Prior experience in hospitality is preferred but not mandatory. Candidates must be fluent in English and local language(s), and able to use hotel management software (training will be provided if needed).

Key Responsibilities

1. Guest Reception and Check-In / Check-Out

  • Greet guests warmly and professionally upon arrival.

  • Handle guest registration, check-in procedures, and room assignments efficiently.

  • Verify guest identification and confirm booking details.

  • Explain hotel policies, services, and amenities.

  • Handle check-out processes, prepare bills, and collect payments (cash/card/UPI).

2. Reservation Management

  • Manage room bookings through phone, email, walk-ins, and online platforms.

  • Enter and update reservation data in the property management system (PMS).

  • Ensure that bookings, cancellations, and no-shows are handled accurately.

  • Coordinate with travel agents and OTAs for group or online reservations.

3. Guest Relations and Service

  • Respond to guest queries, requests, and complaints in a polite and timely manner.

  • Offer assistance with directions, transport arrangements, local sightseeing, or hotel services.

  • Ensure guests feel welcome and attended to throughout their stay.

  • Maintain a calm, helpful, and professional demeanor during busy periods or guest concerns.

4. Administrative and Back-End Support

  • Manage front desk operations including calls, emails, document filing, and stationery stock.

  • Prepare daily guest arrival and departure lists for housekeeping and management.

  • Maintain accurate records of guest feedback, complaints, and service recovery actions.

  • Coordinate closely with housekeeping, kitchen, and maintenance departments.

5. Safety, Security, and Cleanliness

  • Follow all hotel security protocols including ID verification and visitor log maintenance.

  • Maintain the cleanliness and professional appearance of the front desk and lobby area.

  • Monitor CCTV (if required) and report any suspicious activity to the duty manager.

  • Comply with fire and emergency procedures; assist in evacuations if necessary.

Required Skills and Qualifications

Communication Skills

  • Fluent in English and local language(s) (Kannada, Hindi, etc.).

  • Confident and polite phone and in-person manner.

  • Good written communication for emails and messages.

Computer and Technical Skills

  • Working knowledge of computers, email, MS Office (Excel, Word), and printing/scanning.

  • Familiarity with hotel software/PMS like IDS, eZee, Hotelogix, or similar is a plus.

  • Ability to manage online bookings through OTAs (MakeMyTrip, Booking.com, Goibibo, etc.).

Customer Service Orientation

  • Strong interpersonal and problem-solving abilities.

  • Patient and empathetic listener with a solution-oriented mindset.

  • Neat appearance and professional attitude.
