Job Summary:
The Front Office Receptionist serves as the first point of contact for visitors, clients, and staff. This role is responsible for managing the front desk efficiently and professionally by greeting guests, answering phone calls, handling inquiries, and supporting various administrative tasks. The ideal candidate is well-groomed, polite, and possesses strong communication and organizational skills.
Key Responsibilities:
Reception and Visitor Management:

Greet and welcome guests, clients, and visitors with a warm, friendly attitude.

Maintain a neat and organized reception area at all times.

Record and manage visitor logs and issue visitor passes/badges.

Inform staff members of guest arrivals and direct visitors to the appropriate departments.
Telephone and Communication Handling:

Answer incoming calls, route them to the correct department/person, and take messages as required.

Handle inquiries efficiently and professionally, providing accurate information.

Manage email communication for the front office and forward emails to relevant departments when necessary.
Administrative Support:

Schedule appointments, meetings, and conference room bookings.

Receive, sort, and distribute incoming mail and packages.

Handle basic clerical duties such as filing, data entry, and photocopying.

Assist with preparing documents, reports, or presentations when needed.
Office Coordination:

Maintain inventory of front office supplies and coordinate with vendors for restocking.

Ensure cleanliness and order in the reception and waiting area.

Coordinate with housekeeping, maintenance, and courier services as required.
