We are Looking For Front Office Receptionist

Key Responsibilities:

1. Front Desk Management:

  • Greet and welcome visitors, clients, and employees with a positive and professional attitude.

  • Maintain a neat and clean reception area at all times.

  • Answer, screen, and forward incoming phone calls to the relevant department or person.

  • Provide accurate information in person or via phone/email to guests or callers.

2. Visitor Handling and Coordination:

  • Maintain visitor logbooks or digital registration systems, and issue visitor passes if applicable.

  • Inform staff members about the arrival of guests, schedule appointments, or handle walk-in queries.

  • Ensure proper security checks and identity verification as per office protocols.

  • Offer beverages or waiting area assistance to guests, if required.

3. Communication and Correspondence:

  • Handle incoming and outgoing mail, packages, and courier services.

  • Maintain a record of received documents and distribute them appropriately.

  • Draft basic emails, letters, or memos as instructed by management.

4. Administrative Support:

  • Maintain office stationery and inventory levels; inform the admin team about stock requirements.

  • Assist with filing, scanning, photocopying, and data entry tasks as needed.

  • Coordinate with housekeeping or maintenance staff to ensure cleanliness and functionality of the office.

  • Support HR or administrative functions such as scheduling interviews or onboarding coordination.

5. Meeting and Conference Room Management:

  • Manage bookings of meeting or conference rooms as per requirement.

  • Prepare meeting rooms by arranging furniture, stationery, and refreshments if required.

  • Coordinate with IT or support staff to ensure meetings run smoothly.

6. Record Keeping and Reporting:

  • Maintain attendance registers for visitors, external vendors, and service personnel.

  • Keep track of appointments, events, or meetings scheduled in the office.

  • Maintain and update contact lists of clients, vendors, or internal departments.
