Job Summary
We are seeking a well-spoken and presentable Front Office Telephone Operator to manage our phone lines, assist visitors, and support front office administrative activities. As the first point of contact for callers and guests, you will play a key role in ensuring smooth communication, a professional environment, and positive first impressions.
This role requires excellent communication skills, a pleasant personality, and basic computer proficiency. It is suited for freshers or junior candidates looking to start a career in hospitality, customer service, or office management.
Key Responsibilities
1. Telephone Handling

Answer incoming calls promptly and professionally using standard telephone etiquette.

Direct calls to the appropriate person, department, or extension based on the nature of the inquiry.

Handle general inquiries and provide accurate information about the company, services, or departments.

Take messages clearly and relay them to the concerned person or department.
2. Front Office / Reception Support

Greet and welcome guests or visitors with a friendly attitude.

Maintain a clean and organized reception area.

Ensure visitors sign in and follow security or access protocols as needed.

Issue visitor passes or badges and notify internal staff of arrivals.
3. Call and Visitor Log Maintenance

Maintain a daily log of incoming and outgoing calls.

Keep a visitor register and update entries regularly for records and safety.

Assist in managing the appointment and meeting room schedules.
4. Administrative Assistance

Coordinate courier pickups and deliveries.

Receive and distribute documents, parcels, or letters to the appropriate staff.

Help in scheduling meetings and notifying team members.

Provide basic clerical support like photocopying, scanning, or filing documents.
5. Communication Coordination

Inform team members of missed calls or messages via phone, email, or message apps.

Assist in sending company-wide notices, circulars, or announcements.

Keep updated contact lists and directories for internal use.
Required Skills

Excellent Telephone Etiquette: Clear and pleasant voice, polite and professional tone.
