Job Description

We are looking to hire a highly organized administrative officer to perform all administrative and clerical duties necessary for effective office management. The Administrative Officer's responsibilities include welcoming visitors and clients, overseeing the activities of office cleaning staff and maintenance vendors, as well as typing and proofreading various company documents.

Key Responsibilities

1. Office Administration & Management

  • Supervise daily office operations to ensure efficiency.

  • Maintain office supplies, equipment, and inventory.

  • Oversee maintenance and cleanliness of office premises.

2. Documentation & Record Keeping

  • Maintain accurate records of office files, employee records, and company documents.

  • Prepare and process reports, letters, and official correspondence.

  • Ensure compliance with company policies and government regulations.

3. Staff Coordination & Support

  • Assist in recruiting, onboarding, and training new employees.

  • Support employees with administrative needs and queries.

  • Coordinate between departments to improve workflow efficiency.

4. Scheduling & Event Management

  • Manage calendars, appointments, and meetings for management.

  • Plan and organize office events, training sessions, and conferences.

  • Handle travel arrangements and accommodations for staff when required.

5. Communication & Customer Service

  • Act as a point of contact for internal and external communications.

  • Address client inquiries, complaints, and administrative concerns.

  • Ensure smooth communication between different departments.

6. Financial & Procurement Assistance

  • Assist with office budgeting, expense tracking, and financial reporting.

  • Coordinate with vendors and suppliers for office purchases and service agreements.

  • Process invoices, reimbursements, and petty cash management.
