Job Description

  • Greet patients, visitors, and staff in a courteous and professional manner.

  • Manage patient check-in and check-out processes efficiently.

  • Answer and route incoming phone calls; respond to inquiries with accurate information.

  • Schedule and confirm patient appointments using the hospital management system (HMS).

  • Register new patients, update existing patient information, and verify insurance details.

  • Handle billing queries, co-payments, and assist with payment processing.

  • Coordinate with medical, nursing, and administrative teams for smooth workflow.

  • Maintain confidentiality of patient records and comply with hospital policies.

  • Manage waiting area to ensure comfort and timely assistance to patients.

  • Address patient complaints or concerns with empathy and escalate when necessary

  • Key Responsibilities:

    1. Patient Reception and Registration:

    • Greet patients and visitors in a courteous and friendly manner.

    • Register new and returning patients by collecting personal details, insurance information, and medical history as per hospital protocol.

    • Generate and assign patient ID numbers and maintain accurate registration records.

    2. Appointment Scheduling:

    • Manage the hospital’s appointment system efficiently using hospital management software (HMS).

    • Schedule, reschedule, and cancel patient appointments for doctors, diagnostic tests, or procedures.

    • Inform patients about their appointment timings, required preparations, or documents to bring.

    3. Telephone and Inquiry Handling:

    • Answer incoming phone calls promptly and professionally.

    • Provide information regarding hospital services, departments, timings, and policies.

    • Direct calls to the appropriate departments or staff and take messages when necessary.

    4. Documentation and Data Entry:

    • Maintain accurate and updated patient records in both physical files and digital systems.

    • Ensure that all documentation such as consent forms, ID proofs, and insurance details are collected and recorded.

    • Handle administrative paperwork including admission and discharge forms, OPD slips, and referrals.

    5. Billing and Payment Support:

    • Coordinate with the billing department for fee collection, receipts, and invoice generation.

    • Explain billing procedures, payment options, or insurance coverage to patients when needed.

    • Assist in the verification of insurance details or pre-authorizations as per hospital policy.

    6. Visitor Management and Coordination:

    • Issue visitor passes and enforce visitor guidelines and timings.

    • Coordinate with security or support staff to manage waiting areas during peak hours.

    • Provide directions or assistance to patients and visitors within the hospital premises.

    7. Coordination with Hospital Staff:

    • Liaise with doctors, nurses, lab technicians, pharmacy, and administrative departments for smooth workflow.

    • Notify departments of new admissions or emergency walk-ins.

    8. Emergency and Special Cases Handling:

    • Handle emergency patients with prompt registration and minimal delay in coordination with the triage or ER team.

    • Maintain composure during high-pressure situations, such as medical emergencies or patient complaints.

    9. Compliance and Confidentiality:

    • Follow hospital policies on patient confidentiality and data protection (HIPAA or local equivalents).

    • Maintain cleanliness and professionalism at the front desk at all times.
