Hotel Front Office Executive
Job Description
Key Responsibilities:
1. Guest Reception and Check-In/Check-Out:

Greet guests with a warm and professional demeanor upon arrival.

Perform check-in and check-out procedures efficiently and accurately using the hotel’s Property Management System (PMS).
-
Verify guest identification, confirm bookings, and assign rooms according to preferences or availability.
-
Provide room keys, explain hotel facilities, and answer questions about services, dining options, or local attractions.
2. Reservations and Bookings:
-
Manage room reservations via phone, email, online booking portals, or walk-in guests.
-
Ensure accurate recording of reservation details including guest information, dates, rates, and special requests.

Coordinate with the sales and marketing team for group bookings or promotions.
-
Follow up on tentative bookings and cancellations.
3. Guest Services and Assistance:

Respond to guest inquiries and resolve any issues or complaints promptly and professionally.

Arrange services such as wake-up calls, transportation, restaurant reservations, or special amenities.
-
Provide local area information, directions, and recommendations for attractions or dining.

Ensure all guest requests are logged and followed up with relevant departments.
4. Cash and Billing Management:
-
Handle cash, credit card, and other forms of payment during guest check-ins, check-outs, and additional transactions.

Maintain a balanced cash drawer and prepare accurate end-of-shift reports.

Generate invoices, process refunds, and resolve billing queries.
5. Coordination and Communication:
-
Communicate effectively with housekeeping, maintenance, room service, and other departments to ensure guest satisfaction.

Inform housekeeping about check-outs, special room requirements, or early arrivals.
-
Keep management informed of recurring issues or guest feedback.
6. Administrative and Operational Tasks:

Maintain updated records of guest arrivals, departures, and room statuses.

Prepare shift handover reports and logbooks.
-
Follow all hotel policies and standard operating procedures (SOPs).
-
Ensure the front desk area is clean, organized, and presentable at all times.
