Job Summary:
We are looking for a dynamic and professional Hotel Front Office Executive to manage reception activities, handle guest inquiries, assist with billing and accounting functions (including Tally and GST entries), and coordinate with other departments to ensure a smooth guest experience. This role demands a blend of hospitality service, communication, and administrative skills, as well as a strong understanding of hotel operations and compliance with rules and regulations.
The ideal candidate should be friendly, well-spoken, organized, and capable of managing multiple responsibilities while maintaining a high standard of service. Experience with accounting software like Tally and knowledge of GST and basic procurement processes will be an added advantage.
Key Responsibilities:
1. Reception and Guest Handling:

Welcome and greet all guests with a warm, professional attitude.

Handle check-in and check-out procedures efficiently while maintaining guest confidentiality and comfort.

Maintain the front desk area in a neat and organized manner.

Respond to walk-in inquiries and provide information about room availability, rates, services, and facilities.
2. Guest Enquiries and Concierge Support:

Answer incoming calls, emails, and messages courteously and handle booking inquiries or requests.

Assist guests with special requests (e.g., local transport, sightseeing, room upgrades).

Maintain a polite, helpful, and proactive approach to handling guest complaints or concerns.

Offer suggestions with imagination and enthusiasm, going beyond standard hospitality to ensure a memorable stay.
3. Accounts and Billing Responsibilities:

Prepare and manage guest invoices and ensure accurate billing using Tally software.

Apply GST calculations appropriately on all applicable services and maintain proper billing compliance.

Handle advance payments, refunds, cancellations, and reconciliations as per hotel policy.

Maintain daily cash and card transaction records, including POS and digital payments.
4. Administrative and Coordination Tasks:

Maintain guest records, reservation logs, and occupancy reports.

Coordinate with housekeeping, kitchen, and maintenance teams to ensure rooms are ready and guest needs are met.

Track and report room status, occupancy levels, and bookings to the front office manager.

Support small procurement tasks (e.g., stationery, basic reception supplies) by coordinating with vendors and keeping records of receipts and expenses.
5. Compliance and Hotel Standards:

Ensure all guest interactions align with hotel SOPs and customer service policies.

Adhere to fire safety, health, hygiene, and security protocols.

Follow rules and regulations regarding guest identification (e.g., government ID), GST invoicing, and cash handling limits.

Keep up to date with government hospitality guidelines (such as police guest register maintenance, local tax laws, etc.).
Essential Skills and Attributes:

Excellent Communication Skills:
Clear spoken and written English, along with the ability to speak regional or foreign languages is a plus. -
Guest-Oriented Mindset:
Friendly, courteous, and service-focused personality with the ability to resolve guest issues calmly and quickly. -
Accounts and Tally Expertise:
Basic to intermediate knowledge of Tally ERP, GST billing, and invoice preparation. -
Time Management:
Ability to prioritize and handle multiple guest and administrative tasks efficiently. -
Computer Proficiency:
MS Office, hotel PMS (Property Management Software) systems, email handling, and digital payment processing. -
Team Coordination:
Effective internal communication with other departments (housekeeping, kitchen, security, accounts) for seamless service. -
Problem Solving and Discretion:
Capable of managing unexpected situations diplomatically and professionally.
