Job Description
Key Responsibilities:
1. Recruitment and Onboarding:

Coordinate end-to-end recruitment activities including sourcing, screening, scheduling interviews, and communicating with candidates.

Draft and post job openings on job portals and social media platforms.

Assist in the preparation of offer letters, employment contracts, and pre-joining documentation.

Organize and conduct employee onboarding sessions including induction programs and orientation.
2. Attendance, Payroll, and Employee Records:
-
Maintain accurate attendance and leave records through biometric or HRMS systems.
-
Coordinate with the finance department to ensure timely payroll processing and salary disbursement.

Keep employee files updated with documents such as ID proofs, educational qualifications, contracts, and appraisals.

Support statutory compliance by maintaining PF, ESI, and other labor law-related records.
3. Employee Engagement and Welfare:

Plan and execute employee engagement activities, events, and internal celebrations (festivals, birthdays, team outings).

Conduct periodic surveys or feedback collection to gauge employee satisfaction.

Support grievance redressal and ensure a healthy workplace culture.

Coordinate employee recognition and reward programs.
4. Administrative Operations:

Oversee the smooth functioning of office premises including cleanliness, safety, and facility upkeep.

Manage office supplies and maintain inventory of stationery, pantry items, and IT assets.

Liaise with vendors for services like housekeeping, security, transportation, or AMC contracts.

Coordinate maintenance of office equipment such as printers, air-conditioners, and furniture.
5. Travel and Logistics Support:

Organize domestic or international travel arrangements for employees, including ticket bookings, hotel reservations, and reimbursements.

Arrange transportation for staff when needed and track fleet services (if applicable).

Process expense claims and ensure timely reimbursements.
6. Record Keeping and Reporting:

Maintain digital and physical HR & Admin records systematically.

Generate reports related to attendance, headcount, recruitment status, asset usage, and maintenance logs.

Ensure compliance with internal audit requirements for HR and administrative documentation.

Support management in budgeting for HR initiatives and administrative expenses.
7. Policy Implementation and Compliance:

Ensure that all HR and administrative policies are effectively communicated and adhered to by employees.

Assist in drafting new HR policies, amendments, and internal circulars.

Stay updated on labor laws and statutory regulations, ensuring the company remains compliant.

Coordinate with legal or labor consultants when necessary for documentation and compliance advice.
