Job Description

Job Summary:

We are looking for a reliable and detail-oriented HR and Admin Executive to support the smooth and efficient functioning of our day-to-day administrative and human resources operations. The ideal candidate will be a Commerce graduate with excellent organizational and multitasking skills, capable of ensuring a well-coordinated office environment. This role requires a proactive individual who can manage administrative tasks while also assisting with basic HR functions, employee engagement, and internal compliance.

The HR and Admin Executive will serve as the backbone of the workplace, supporting staff, maintaining office protocols, managing records, and fostering a positive, professional work culture. This is an excellent opportunity for someone looking to build a career in administration and human resources within a dynamic organization.

Key Responsibilities:

1. Administrative Operations

  • Manage daily office operations, ensuring cleanliness, maintenance, and a well-organized working environment.

  • Maintain office supplies inventory, place orders, and manage vendor relationships for office materials, equipment, and services.

  • Coordinate courier services, logistics, housekeeping, and front-desk duties.

  • Oversee the filing and documentation system—both physical and digital—to ensure secure and easy access to administrative records.

  • Manage calendars, schedule appointments, and support the organization of internal and external meetings.

  • Ensure timely maintenance and servicing of office equipment and facilities.

2. HR Support Functions

  • Assist with recruitment tasks such as scheduling interviews, coordinating with candidates, and supporting onboarding activities.

  • Maintain and update employee records, including personal files, attendance, leave tracking, and ID issuance.

  • Assist in payroll data collation such as attendance records, leaves, overtime, and other employee-related inputs.

  • Support employee engagement initiatives like birthdays, team events, and internal communication.

  • Help in preparing HR letters like offer letters, experience letters, confirmations, and address proof letters.

  • Ensure HR policies and procedures are followed consistently across all departments.

3. Record Keeping & Documentation

  • Maintain up-to-date employee data in spreadsheets and HRMS systems.

  • Keep accurate records of administrative expenses, invoices, and petty cash with appropriate documentation.

  • Prepare reports and presentations for senior management when needed.

4. Compliance & Coordination

  • Assist in ensuring office safety, health, and hygiene protocols are followed as per company and statutory guidelines.

  • Support in compliance with labor laws by coordinating document submissions, contract renewals, and audit support.

  • Liaise with external vendors, consultants, and government authorities as needed for administrative or HR matters.

5. Communication and Liaison

  • Serve as the point of contact between management, employees, and external stakeholders.

  • Ensure effective internal communication across departments related to HR and admin updates.

  • Draft and circulate internal emails, notices, and circulars as directed.

Skills and Competencies:

  • Strong organizational and time management skills.

  • Ability to multitask and prioritize tasks in a busy work environment.

  • Detail-oriented with a focus on accuracy and follow-through.

  • Excellent verbal and written communication skills.

  • Good knowledge of MS Office (Excel, Word, PowerPoint, Outlook).

  • Basic understanding of HR policies and labor laws is an advantage.

  • Familiarity with office management tools or HR software is a plus.
