HR Executive - Central Line
Job Description
Assist in recruitment activities: posting job ads, screening candidates, scheduling interviews
Facilitate employee onboarding and orientation processes
Maintain and update employee records (physical and digital)
Coordinate HR policies and procedures, ensuring compliance with labor laws
Support payroll preparation by providing relevant data (absences, bonuses, leaves, etc.)
Handle employee queries regarding HR policies, procedures, and benefits
Assist in organizing employee engagement activities and training sessions
Monitor employee attendance and leave management systems
Prepare HR-related reports as needed (e.g., headcount, turnover, disciplinary actions)
Support performance appraisal and feedback processes
Participate in audits and ensure HR documentation is in order
Key Responsibilities:
1. Recruitment and Staffing:

Coordinate with department heads to understand staffing needs and develop job descriptions for medical and non-medical roles.

Source candidates through job portals, social media, agencies, and walk-ins.

Conduct initial screening, schedule interviews, and participate in the selection process.

Manage documentation for new hires, including offer letters, ID generation, and employment contracts.

Ensure timely placement of qualified personnel across all shifts and departments.
2. Onboarding and Induction:

Organize orientation sessions for new employees, covering hospital policies, protocols, and HR processes.

Facilitate the joining formalities such as ID card issuance, system access, medical checkups, and documentation.

Assign mentors or supervisors for probation period monitoring and integration.

Ensure new employees understand their roles and responsibilities.
3. Attendance, Leave, and Payroll Support:

Monitor staff attendance through biometric systems or manual records.

Process and maintain records of leaves, late marks, shift changes, and absences.

Support the finance/payroll department by verifying attendance data and resolving payroll discrepancies.

Assist in calculating overtime, incentives, and deductions as per HR policies.
4. Employee Relations and Grievance Handling:

Act as a point of contact for employee concerns and grievances.

Address issues like absenteeism, misconduct, conflict resolution, and policy violations.

Promote a healthy work environment by implementing staff welfare activities and maintaining open communication channels.

Organize periodic employee feedback sessions and take action to improve satisfaction.
5. Performance Management:

Assist in implementing appraisal systems for clinical and non-clinical staff.

Coordinate annual or bi-annual performance review processes.

Maintain records of performance assessments, disciplinary actions, and rewards.

Support departmental heads in identifying training and development needs.
6. Training and Development:

Identify mandatory and optional training programs for staff based on hospital standards and medical regulations.

Coordinate internal and external training sessions, CME (Continuing Medical Education), and skill development workshops.

Maintain training records and ensure compliance with certification and licensing requirements.
7. Compliance and Documentation:

Ensure employee documentation is complete and updated regularly.

Maintain HR records including joining letters, KYC, insurance details, background checks, and medical records.

Ensure the hospital complies with labor laws, healthcare regulations, and accreditation requirements (e.g., NABH, JCI).

Participate in internal and external HR audits.
8. Exit and Separation Formalities:

Manage resignation and termination procedures as per hospital policy.
-
Conduct exit interviews and gather feedback for improvement.
-
Coordinate with finance for full and final settlements.
-
Ensure return of hospital property and deactivation of system access.
