Job Description
Job Summary:
The HR Executive plays a critical role in supporting the Human Resources department by ensuring efficient and effective implementation of HR strategies, policies, and processes. The individual will be responsible for performing a wide range of duties including recruitment, onboarding, employee engagement, payroll assistance, compliance, and maintaining employee records. As a key member of the HR team, the HR Executive is expected to act as a bridge between management and employees, promoting a positive organizational culture and a high level of employee morale.
Key Responsibilities:
1. Recruitment and Staffing:

Coordinate with department heads to identify staffing needs and develop job descriptions.

Post job openings on various platforms including job portals, social media, and company website.

Screen resumes and applications to shortlist candidates based on required qualifications and experience.

Conduct initial interviews and coordinate with line managers for subsequent interview rounds.

Manage the full recruitment cycle from sourcing to offer letter issuance.

Maintain a recruitment database and provide regular updates on hiring progress.
2. Onboarding and Orientation:

Facilitate new employee onboarding by preparing induction schedules and orientation programs.

Ensure all joining formalities are completed including document verification, ID card issuance, and account creation.

Coordinate with IT and Admin teams to ensure new hires have the necessary tools and access.

Conduct orientation sessions to familiarize new employees with company policies, culture, and expectations.
3. Employee Records and Documentation:

Maintain and update employee records in the HRIS system and physical files.

Ensure all employee information is accurate, confidential, and regularly backed up.

Track and manage employment contracts, renewals, confirmations, and probation reviews.

Handle issuance of HR-related letters such as employment certificates, salary slips, promotion letters, etc.
4. Payroll and Attendance Management:

Collaborate with the finance department to ensure accurate and timely payroll processing.

Monitor employee attendance, leaves, and overtime through attendance management systems.

Calculate salary deductions, reimbursements, bonuses, and other components as per company policy.

Assist in resolving payroll-related queries from employees.
5. Employee Engagement and Welfare:

Organize employee engagement activities such as team outings, festivals, birthdays, and wellness programs.

Conduct periodic surveys and feedback sessions to measure employee satisfaction and engagement.

Promote a positive work environment by addressing employee concerns and grievances in a timely manner.

Support internal communication efforts through newsletters, emails, and announcements.
6. Policy Implementation and Compliance:

Ensure HR policies and procedures are up to date and aligned with labor laws and company values.

Monitor compliance with statutory requirements such as ESI, PF, gratuity, and labor law regulations.

Assist in internal audits and coordinate with external agencies for compliance checks.

Educate employees on company policies and ensure consistent enforcement.
7. Training and Development:

Identify training needs through performance evaluations, feedback, and strategic goals.

Coordinate with external vendors and trainers to schedule learning sessions and workshops.

Maintain training records and assess effectiveness through post-training evaluations.

Support the implementation of performance management systems.
8. Performance Management:

Coordinate the performance appraisal cycle including setting goals, collecting feedback, and reviewing evaluations.

Maintain performance records and track career progression and promotions.
-
Work with department heads to identify high performers and employees needing improvement.

Help design performance improvement plans where necessary.
