Job Description
Assist in the recruitment process: job posting, screening, scheduling interviews, and follow-ups
Coordinate employee onboarding and exit formalities
Maintain and update employee records in both digital and physical formats
Support payroll processing through accurate attendance and leave data
Draft HR letters (offer, appointment, experience, warning, etc.)
Handle employee queries related to HR policies, attendance, leave, and benefits
Ensure compliance with labor laws and company policies
Assist in organizing employee engagement and training programs
Prepare HR reports and documentation for audits or inspections
Key Responsibilities:
1. Recruitment & Staffing
-
Coordinate with department heads (nursing, admin, medical, diagnostics) to understand manpower needs.

Post job openings on portals and coordinate interviews for roles such as doctors, nurses, technicians, housekeeping, and administrative staff.

Conduct initial screenings and schedule interviews with appropriate panels.
-
Ensure recruitment turnaround time is minimized to maintain operational continuity.
2. Onboarding & Induction
-
Collect documents and complete verification checks for selected candidates.

Prepare offer letters, contracts, ID cards, and orientation kits.

Conduct induction sessions for new hires, covering hospital rules, code of conduct, infection control, and HR policies.

Maintain accurate employee files (physical and digital) in line with hospital standards.
3. Attendance & Shift Management
-
Monitor staff attendance using biometric systems or manual logs for departments working in rotational shifts.

Create and manage shift rosters for nursing, housekeeping, reception, and other 24x7 teams.

Manage leave applications, comp-offs, and absenteeism records.

Share accurate attendance data with the payroll team each month.
4. Payroll & Statutory Compliance

Assist in payroll processing by submitting attendance, leave balances, and other variable components.

Maintain records related to PF, ESIC, gratuity, and professional tax deductions.

Ensure compliance with labor laws and hospital-related statutory regulations.

Support internal and external audits by preparing necessary HR documentation.
5. Performance Management
-
Coordinate probation evaluations, appraisals, and feedback collection for doctors, nurses, and administrative staff.

Track confirmation timelines and performance improvement plans for underperforming employees.

Support in drafting warning letters, notices, or disciplinary action procedures under supervision.
6. Employee Grievances & Welfare
-
Act as the first point of contact for employee concerns and grievances.

Assist with conflict resolution among staff or between departments.

Promote employee well-being by facilitating timely access to support services (mental health, leave, accommodation, etc.).

Organize welfare activities such as medical staff appreciation days, wellness workshops, or seasonal celebrations.
7. HR Documentation & Reporting

Maintain up-to-date records of employee joinings, exits, contracts, licenses (e.g., nursing council registration), and medical clearances.

Generate HR reports on absenteeism, headcount, attrition, and training.

Ensure HR-related documents and SOPs are audit-ready at all times.
8. Training & Development

Coordinate CME (Continuing Medical Education), in-service training for nurses, and mandatory hospital safety programs.

Maintain training attendance records and feedback forms.

Support in onboarding temporary staff, trainees, or interns during peak demand periods.
