Job Description

Requirements:
  • Proven experience as an office administrator or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial studies will be an advantage
  • MBA  degree in management preferable.
Responsibilities:
  • Office Management
  • Coordinate and oversee all office activities and operations to secure efficiency and compliance to company policies.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Monitor stocks of office supplies (office stationery, marketing collateral, magazines on table etc.) and place orders when necessary.
  • To ensure the furniture and logistic are in place in the office.
  • Develop effective filing systems and maintain all files and records.
  • Manage phone calls and correspondence at the front desk (e-mail, letters, packages, courier etc) .
  • Attend every visitor at front office and make sure they are treated with utmost professionalism. Connect them to the right person as per their requirement. If the concerned person is unavailable, visitors’ details are to be noted and forwarded to the concerned person on time.
  • Human Resource Management
  • To send office memo, birthday wish to the staff on behalf of Director (after taking approval from director). Sending “thought of the day”/ quote to internal staff everyday.
  • Assist staff to ensure maximum performance. Coordinate with colleagues whenever necessary to ensure they respond to clients adequately.
  • To ensure employees are dressed appropriately.
  • To keep In & Out book at the front office for employees and keep a check on the entry.
  • To arrange a monthly meeting of employees with Director to evaluate staff performance and brainstorm for future plans.
  • Data Management
  • Support data entry, budgeting and bookkeeping procedures.
  • Create and update records and databases with personnel, financial and other data.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Updating clients’ data with phone no, email id, birthday, anniversary etc.
  • Calling clients & prospects to invite them for events & occasions.
