Position Overview

Job Description:

An exciting opportunity has emerged at Epiq due to the maturity and evolution of our human resources shared services model. As a HR Operations Specialist, you are required to provide exceptional customer service as the first point of contact for HR support of associates, management, external clients and HR internal teams. This includes evaluating and analyzing the request or concern, quickly interpreting the situation, determining the appropriate resolution or escalation, and communicating the resolution to the client, consistent with Service Level Agreements (SLAs) core responsibilities. In this role, you will also be responsible to investigate and provide guidance and resolutions regarding HR policy-related questions, provide guidance to both managers and associates, and recognize when escalation of a situation is necessary. (e.g. payroll, performance management, time and expenses, and benefits). Additionally, you will have to document issue resolution thoroughly and in a timely manner and together with this, you are required to process transactions and requests for onboarding, internal movement, offboarding and document management.

Job Responsibilities
  • Resolve Tier 1 queries and transactions related to HR
  • Maintain HR system (Workday & SAP) with accurate and updated information
  • Initiate background verification on offer letters for new hires
  • Prepare employment verification letters based on the nature of requests received
  • Manage the new hire preboarding process
  • Manage new hire onboarding in Workday
  • Maintaining Training related data
  • Managing & Coordinating queries on Case management tool and create HR tickets
  • Managing reports request from employees and stakeholders
  • Communicate and distribute processes and other relevant documentation to employees needed to resolve the query/ issue
  • Assist with data correction or escalate to Sr. HR Ops Specialist, specifically for issues that cannot be resolved through self-service
  • Handle calls from AMR/EMEA/APAC employees and ensure to take action and create HR tickets
  • Managing technical issues and act as a bridge between operations & technical teams
  • Adhere to agreed KRAs and customer service standards
  • Manage administrative responsibilities for HR Shared Services, within the agreed SLAs
  • Manage all processes and documentation related to employee lifecycle data
  • Collect data to prepare management reports, as needed
  • Deliver high-quality, professional service to all internal stakeholders
  • Follow Standard Operating Procedures
  • Assist with internal and external audits

Required Qualifications & Characteristics

  • Bachelor’s degree in Human Resources, Business Administration or relevant field
  • 0-1 years of experience in HR is desirable
  • Proficient with or the ability to quickly learn the organizations HRIS, payroll, and similar employee management software
  • Superior customer service skills using efficient processes
  • Understanding of HR operations including hiring, payroll and employee benefits
  • Good written and verbal communication skills
  • Basic understanding or knowledge of MS Office Suite skills (Word, Excel, PowerPoint, Outlook)
  • Experience using Human Resources Management Systems (Workday & SAP ERP)
  • Highly Organised and Self-motivated
  • Excellent analytical skills

  • Ability to work in a fast-paced environment with constant deadlines
