Job Description
Job Overview:
We are seeking a well-organized and detail-oriented Import Exports and Tenders Executive to manage and coordinate all activities related to international shipments, export-import documentation, and government/commercial tender submissions. The ideal candidate will have working knowledge of international trade regulations, strong administrative capabilities, and a proactive approach to managing deadlines and compliance.
This multifaceted role requires handling both logistics and documentation for cross-border trade as well as tender participation for public and private contracts. Candidates must be well-versed in incoterms, customs clearance procedures, documentation like LC (Letter of Credit), Bill of Lading, and also be confident in reviewing and responding to e-tender portals or procurement sites.
Key Responsibilities:
1. Import & Export Documentation:

Prepare all necessary shipping and export documents including:
-
Proforma Invoice
-
Commercial Invoice
-
Packing List
-
Certificate of Origin
-
Bill of Lading / Air Waybill
-
LC documentation and bank negotiation paperwork
-

Coordinate with freight forwarders, CHA (Customs House Agents), and shipping companies to ensure timely dispatch and delivery of goods.

Track shipment status and update clients or internal teams with real-time logistics information.

Ensure documentation compliance with buyer country regulations, customs requirements, and free trade agreements (FTAs).
2. Customs & Compliance:
-
Coordinate with import/export authorities to ensure smooth customs clearance.

File online documentation via ICEGATE or DGFT portals as applicable.

Maintain up-to-date knowledge of global trade regulations, import-export duties, and restrictions.

Ensure compliance with all government regulations such as GST, DGFT licensing, EPCG schemes, MEIS/RODTEP claims, etc.
3. Tender Management:

Regularly monitor government and private procurement portals such as GeM, CPPP (Central Public Procurement Portal), eProcurement, Railways, NTPC, BHEL, ONGC, or industry-specific portals.

Download and review tender documents, eligibility criteria, technical specifications, and submission requirements.

Coordinate with internal departments (accounts, legal, technical) for required documentation and approvals.

Prepare and submit complete tender proposals before deadlines, including:

Technical bid

Financial bid
-
Earnest Money Deposit (EMD) and security formats

Experience certificates, declarations, and compliance documents

Maintain a tracking sheet of submitted, awarded, or rejected tenders and reasons for rejection (if applicable).
4. Coordination & Reporting:

Coordinate between internal teams, suppliers, freight partners, and government agencies to ensure seamless trade execution.

Maintain master data and documentation archives for audits and future reference.

Prepare MIS reports on export/import volumes, tender performance, and delivery timelines.

Support internal audits, ISO documentation, and any required certifications (such as CE, FDA, IEC codes, etc.).
