Job Description
Job Summary:
An Inbound Process Executive in a Business Process Outsourcing (BPO) company is responsible for handling incoming calls, chats, or emails from customers regarding products, services, orders, technical support, billing, and other inquiries. This is a voice or non-voice process (or sometimes both), and the primary goal is to resolve customer queries effectively, deliver excellent service, and ensure high levels of customer satisfaction.
The role requires strong communication skills, problem-solving abilities, patience, and a customer-focused mindset. Inbound process executives work in a dynamic environment where quality, professionalism, and adherence to service-level agreements (SLAs) are critical.
Key Responsibilities:

Customer Interaction:

Answer incoming calls or respond to incoming emails, chats, or messages from customers.

Greet customers courteously and listen actively to understand their queries or concerns.

Maintain a calm and professional tone, even when handling irate or dissatisfied customers.

Query Resolution:

Identify the nature of the issue—be it technical, product-related, billing, service, or general information.

Provide accurate and complete information to resolve the issue during the first interaction whenever possible (First Call Resolution).

Escalate unresolved or complex issues to higher authorities or technical teams, following escalation protocols.

Data Entry and Documentation:

Log all interactions and transaction details accurately into the system.

Update customer accounts or records with the interaction details, complaints, resolutions, or follow-up requirements.

Maintain confidentiality of customer data at all times.

Product Knowledge and Training:

Keep up-to-date with company products, services, policies, and processes.

Attend mandatory training sessions on system updates, product launches, or service changes.

Apply learned information to better assist customers and improve resolution times.

Adherence to Company Policies:

Follow scripts, guidelines, and compliance requirements strictly, especially for regulated industries such as banking, healthcare, or telecom.

Meet key performance indicators (KPIs) such as average handling time (AHT), customer satisfaction score (CSAT), and call quality.

Maintain discipline in terms of login hours, breaks, and shift timing.

Teamwork and Coordination:

Collaborate with team members and supervisors to share feedback, tips, and improve team performance.

Participate in team huddles, briefings, and quality audits.
