Job Description:
1. Acquiring Delegates for webinars and events.
2. Connecting with Delegates on Call, for specification of Conferences
3. Sending Official Invitation to the Delegates.
4. Collaboration with a team to achieve better results building relationships and networking.
5.Inviting Delegates for attending Webinars, Events, Conferences, etc.
Key Responsibilities:
1. Delegate Acquisition

Identify and reach out to potential delegates from the targeted industry or professional segment.

Use databases, LinkedIn, referrals, and internal leads to generate new contacts.

Promote upcoming webinars, seminars, or conferences to the right audience based on their interests and industry relevance.

Convince and convert contacts to register and attend events by clearly communicating the value proposition.
2. Telecalling and Client Interaction
-
Make outbound calls to prospective delegates to inform them about events and encourage their participation.

Clarify event themes, speakers, agendas, and key takeaways to interested professionals.

Answer queries related to the event and assist in the registration process.

Maintain a professional tone and build rapport with delegates across industries and job roles.
3. Email and Communication Management

Send official invitations, follow-up messages, and reminders through email.

Customize communication templates based on delegate profile, event type, and campaign strategy.

Track email responses, registrations, and engagement using CRM and marketing tools.
4. Collaboration and Coordination

Work closely with the event marketing, content, and production teams to understand event objectives and target audience.

Coordinate with team members to share delegate feedback, responses, and registration status.

Contribute ideas to improve outreach strategies and delegate engagement.
5. CRM and Database Management
-
Maintain and update records of all communication and contacts in the CRM system.

Ensure data accuracy, activity tracking, and follow-up logs are updated daily.

Segment the database based on industry, region, seniority, and other relevant criteria.
6. Relationship Building and Networking

Build long-term professional relationships with potential and repeat delegates.

Identify key decision-makers or influencers in targeted companies or industries.

Represent the company and its events in a professional manner during all delegate interactions.
7. Reporting and Performance Monitoring

Prepare daily, weekly, and monthly reports on calls made, responses received, and delegates confirmed.

Track performance metrics such as number of contacts reached, conversion rates, and event attendance.

Provide insights and feedback to improve scripts, processes, and campaign effectiveness.
