Position Overview:
The Inventory Executive and Office Administrator is a dual-function role responsible for overseeing inventory management and ensuring smooth daily administrative operations in the office. This individual plays a key role in maintaining accurate stock records, streamlining office functions, supporting staff with administrative tasks, and ensuring efficient coordination between departments.
This role is ideal for an organized and detail-oriented professional with strong multitasking abilities, proficiency in inventory control systems, and excellent communication skills. Key Responsibilities:
A. Inventory Management Responsibilities:
1. Inventory Tracking and Control:

Monitor, maintain, and update inventory records in real-time using inventory management software or ERP systems.

Track the movement of goods—receiving, storing, and issuing materials or products.

Ensure accuracy in physical stock vs. system stock by performing regular audits.
2. Stock Audits and Reconciliation:

Conduct periodic physical stock counts and report discrepancies.

Investigate causes of inventory variances and recommend corrective measures.

Maintain records of damaged, obsolete, or returned goods.
3. Procurement Coordination:

Coordinate with the purchasing team to reorder items when stock levels fall below minimum thresholds.

Maintain reorder levels and support procurement by providing accurate inventory data.

Assist in vendor communication for order confirmations and delivery tracking.
4. Reporting and Analysis:

Generate regular reports on stock levels, usage trends, and order status.

Analyze stock consumption patterns and suggest improvements in inventory control.

Support the finance department with data for budgeting and forecasting.
5. Warehouse or Storage Management (if applicable):

Ensure materials are stored in an organized and secure manner.

B. Office Administration Responsibilities:
1. Office Operations Management:

Oversee the smooth running of day-to-day office operations.

Maintain office supplies inventory and reorder as necessary.

Ensure that office equipment (printers, phones, etc.) is functioning properly and liaise with service providers for maintenance or repair.
2. Staff Support and Coordination:

Serve as the first point of contact for administrative queries from staff.

Support HR functions such as coordinating interviews, maintaining employee records, and managing attendance sheets (if required).

Assist in organizing meetings, travel arrangements, and event logistics.
3. Document and Record Management:
