Job Description
Job Summary:
We are seeking a detail-oriented and organized IT Asset Executive to oversee the lifecycle of IT assets within the organization, including procurement, deployment, tracking, maintenance, and disposal. The IT Asset Executive plays a key role in managing both hardware and software inventories to ensure compliance, cost-effectiveness, and operational efficiency.
The ideal candidate will have experience with asset management systems, a strong understanding of IT infrastructure, and the ability to maintain accurate records across multiple locations or departments. This position is crucial in supporting business continuity, optimizing IT investments, and ensuring that company resources are fully accounted for and managed according to policy.
Key Responsibilities:
1. IT Asset Lifecycle Management:

Maintain a comprehensive inventory of all IT hardware (laptops, desktops, servers, networking devices, printers, etc.) and software assets.

Track asset statuses throughout their lifecycle—from procurement, assignment, and usage to maintenance and retirement.

Ensure accurate tagging and documentation of all assets using asset management tools or databases.

Coordinate asset deployment to employees, including initial setup and user handover.
2. Asset Procurement and Vendor Coordination:

Collaborate with the procurement and IT teams to ensure timely acquisition of IT equipment and software licenses.

Track vendor delivery schedules, quality checks, and warranty documentation.

Maintain relationships with hardware/software vendors and service providers for sourcing, AMC, or repairs.

Assist in price comparison and negotiations during procurement.
3. Software License Management:

Monitor and manage all software licenses to ensure compliance with licensing agreements and audits.

Track renewals, subscriptions, and software expiry dates.

Prevent unauthorized software installations and report potential compliance risks.

Maintain digital records of product keys, agreements, and usage rights.
4. Asset Allocation and Tracking:

Assign IT assets to users or departments based on requests and availability.

Maintain detailed records of asset owners, usage history, and physical location.

Regularly audit assets physically and digitally to ensure accurate tracking and prevent loss or theft.

Retrieve and reassign assets during employee offboarding or role changes.
5. Support and Maintenance Coordination:

Log and coordinate service or maintenance requests related to IT equipment.

Work with IT support staff to ensure faulty hardware is replaced, repaired, or reported within SLA timelines.

Monitor asset health, warranty status, and initiate timely replacements or upgrades.
6. Asset Disposal and Decommissioning:

Follow secure and compliant procedures for disposal of outdated or unusable IT equipment.

Work with vendors or recycling partners for e-waste management in accordance with regulatory guidelines.

Remove all company data before decommissioning devices.
7. Reporting and Compliance:

Generate periodic reports on IT asset utilization, inventory gaps, procurement needs, and depreciation.

Assist with internal and external audits by providing accurate asset documentation.

Ensure all IT assets comply with company policy, data security, and regulatory standards.
