Job Summary

The Junior Accountant and Admin Executive is a dual-role professional responsible for managing day-to-day financial transactions and supporting office administration activities. This role combines basic accounting duties such as bookkeeping, data entry, invoicing, and reconciliations with administrative responsibilities like maintaining office records, coordinating meetings, and assisting HR and operations.

The ideal candidate should have a strong understanding of accounting principles, attention to detail, and the ability to multitask and stay organized in a fast-paced office environment.

Key Responsibilities

Accounting & Finance Duties

  • Record day-to-day financial transactions in accounting software (e.g., Tally, Zoho Books, QuickBooks).

  • Prepare, verify, and post invoices, bills, receipts, and vouchers.

  • Maintain records of purchases, sales, payments, receipts, and petty cash expenses.

  • Assist in the preparation of financial statements and monthly closing activities.

  • Reconcile bank statements, vendor accounts, and customer ledgers regularly.

  • Track accounts receivable and follow up with clients for overdue payments.

  • Prepare TDS, GST returns, and assist with filing under the guidance of a senior accountant or CA.

  • Support internal and external audits by organizing financial records and documents.

  • Maintain accurate and up-to-date ledger entries, tax documents, and payment records.

Administrative Responsibilities

  • Manage and maintain office filing systems, documentation, and internal records.

  • Handle incoming/outgoing mail, courier management, and basic correspondence.

  • Coordinate staff attendance, leave tracking, and basic HR support such as maintaining employee records.

  • Assist in procurement and inventory management of office supplies, stationery, and equipment.

  • Schedule and coordinate meetings, travel arrangements, and office events.

  • Ensure office equipment (printers, scanners, internet, etc.) is functioning and coordinate maintenance when needed.

  • Support vendor management by handling quotations, purchase orders, and bills.

  • Prepare reports, memos, or business correspondence under guidance.

Skills and Competencies

  • Accounting Knowledge: Strong foundation in bookkeeping, journal entries, GST/TDS rules, and statutory compliance.

  • Software Proficiency: Hands-on experience with accounting software (Tally, Zoho Books, QuickBooks) and MS Office (Excel, Word, Outlook).

  • Attention to Detail: Accurate in data entry, documentation, and financial reporting.

  • Organizational Skills: Able to manage multiple tasks, prioritize deadlines, and maintain office efficiency.

  • Communication Skills: Good written and verbal communication to coordinate with internal teams, vendors, and clients.

  • Confidentiality: Handles sensitive financial and employee data with professionalism and discretion.

  • Problem-Solving: Quick to identify errors, resolve administrative issues, and support smooth office functioning.
