Job Description

Looking for personal secretary for administrative tasks .
Should be well versed in English
Should have really good communication skill then should be present table and smart

Prior experience preferred although freshers are also accommodated 

Key Responsibilities:

1. Diary and Schedule Management

  • Maintain and organize the executive’s calendar by scheduling meetings, appointments, and events.

  • Prioritize and manage multiple appointments, ensuring minimal scheduling conflicts.

  • Send reminders for upcoming meetings and deadlines.

  • Coordinate internal and external meetings, including preparing agendas and arranging venues or video conferencing.

2. Communication Handling

  • Serve as the first point of contact for incoming calls, emails, and correspondence directed to the executive.

  • Draft, review, and proofread emails, memos, letters, and reports on behalf of the executive.

  • Respond to routine inquiries and redirect complex issues to the appropriate individuals.

  • Maintain a professional tone and appearance in all interactions with clients, partners, and staff.

3. Document Management and Filing

  • Organize and maintain both electronic and physical filing systems.

  • Ensure timely retrieval of information and documents when needed.

  • Draft, type, format, and file confidential reports, presentations, meeting notes, and other documents.

  • Manage document storage, updates, and security protocols.

4. Travel and Logistics

  • Arrange national and international travel, including flights, accommodations, ground transportation, and visa processing when necessary.

  • Prepare detailed travel itineraries and ensure the executive is well-prepared for each trip.

  • Process travel reimbursements and expense reports accurately and promptly.

5. Meeting Coordination and Support

  • Prepare and distribute meeting agendas, presentations, and other materials.

  • Record, transcribe, and distribute minutes from meetings when required.

  • Ensure that necessary technical equipment and meeting rooms are booked and functional.

  • Follow up on action items discussed in meetings to ensure completion.

6. Office and Administrative Support

  • Perform general office duties such as ordering office supplies, maintaining inventory, and handling mail.

  • Liaise with vendors, service providers, and other departments as needed.

  • Maintain databases, contact lists, and distribution lists.

  • Support event planning and coordination for internal functions and corporate events.

7. Confidentiality and Discretion

  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

  • Exercise good judgment in filtering information and managing priorities.

  • Represent the executive professionally in all communications, both internally and externally.

Skills:

  • Communication Skills: Excellent written and verbal communication skills. Ability to draft professional documents and emails with clarity and accuracy.

  • Organizational Skills: Exceptional time management and organizational skills. Must be detail-oriented and able to manage multiple tasks under pressure.

  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and document management systems. Familiarity with collaboration platforms (e.g., Microsoft Teams, Zoom, Google Workspace) is a plus.

  • Problem-Solving: Ability to anticipate needs, think critically, and offer solutions with minimal guidance.

  • Discretion: Proven ability to handle confidential information and act with integrity and professionalism.

  • Interpersonal Skills: Polished demeanor and strong interpersonal skills for working with executives, clients, and colleagues.
