Job Description
Oversee day-to-day hospital operations, ensuring seamless coordination between clinical and non-clinical departments.

Implement hospital policies, SOPs, and protocols in accordance with healthcare regulations and accreditation standards.

Supervise medical staff performance, staff scheduling, and duty allocations.

Monitor hospital budget utilization, procurement, and resource allocation.

Liaise with doctors, nursing staff, support services, and external agencies to optimize service delivery.

Ensure quality control, patient safety, and grievance redressal systems are in place and effective.

Lead emergency preparedness planning and oversee infection control initiatives.

Maintain compliance with statutory and legal requirements including NABH/NABL standards.
Key Responsibilities:
1. Operational Management:

Supervise the day-to-day administrative operations of the healthcare facility, including reception, registration, billing, records, and patient services.

Coordinate appointments, scheduling, and flow of patients to ensure minimal waiting times and maximum service efficiency.

Ensure cleanliness, security, and proper functioning of the premises and support infrastructure.
2. Staff Supervision and HR Coordination:

Manage administrative and support staff such as receptionists, front desk executives, data entry operators, housekeeping, and maintenance personnel.

Oversee staff attendance, duty rotations, performance tracking, and basic HR issues.

Coordinate recruitment, training, and onboarding of new administrative employees.
3. Patient Relations and Experience:

Ensure patients receive timely and respectful service throughout their interaction with the facility.

Handle patient complaints and feedback with empathy and prompt resolution.

Supervise patient registration, billing, discharge processes, and customer service quality.
4. Documentation and Records Management:

Maintain accurate patient records, admission/discharge logs, and medical reports as per standard policies.

Ensure electronic medical records (EMRs) or physical files are stored securely and are easily accessible to authorized personnel.

Ensure compliance with data protection laws, hospital documentation standards, and medical record retention policies.
5. Coordination with Medical Staff:

Facilitate smooth coordination between administrative teams and clinical staff including doctors, nurses, and lab technicians.

Assist in doctor scheduling, operating theater allocation, and outpatient department (OPD) operations.

Support medical professionals by organizing case files, reports, and timely communication of appointments or procedures.
6. Regulatory and Legal Compliance:

Ensure compliance with healthcare regulations set by local/state health departments, NABH, and other accreditation bodies.

Maintain up-to-date licenses, certifications, fire safety audits, biomedical waste handling records, and insurance documentation.

Prepare for audits, inspections, and accreditation reviews by maintaining accurate documentation and processes.
7. Inventory and Procurement Management:

Oversee the procurement and stock levels of medical supplies, stationery, and non-clinical consumables.

Coordinate with vendors for timely supply and negotiate favorable terms for the hospital or clinic.

Maintain logs for medicines, equipment, and general utilities (e.g., water, electricity, internet, housekeeping).
8. Billing and Financial Oversight:

Supervise patient billing and ensure accuracy in invoices, payments, and reimbursements.

Liaise with insurance companies for patient claims, pre-authorization, and settlement processes.

Support the finance team in budgeting, petty cash management, and monthly expense tracking.
