Job Description
Job Summary:
We are seeking a detail-oriented and proactive Merchandiser who can efficiently manage coordination between mills (fabric/textile suppliers) and warehouses, ensuring smooth flow of materials, timely delivery, and accurate tracking of stock. The ideal candidate should possess good communication skills, basic knowledge of textiles or garments (preferred), and the ability to handle operational tasks across the supply chain.
This role is critical to ensuring that inventory is received on time, tracked properly, and available for production or dispatch without delay. Candidates should be capable of maintaining professional communication with mills, transporters, warehouse staff, and internal departments.
Key Responsibilities:
1. Coordination with Mills (Fabric/Textile Suppliers):

Place fabric or raw material orders with approved mills as per planning or purchase schedule.

Follow up regularly with mills to track the status of ongoing orders and expected delivery timelines.

Communicate quality, shade, GSM, and specification requirements clearly.

Address any issues related to delays, quantity mismatches, or material quality and escalate to senior management if required.

Collect and maintain documentation like delivery challans, invoices, and test reports from mills.
2. Warehouse Coordination:

Inform warehouse staff in advance about expected inward shipments.

Ensure smooth unloading, inward processing, and stacking of received goods.

Verify quantity and quality upon arrival and address any discrepancies.

Maintain a systematic record of material movement in and out of the warehouse.

Work with the warehouse team to conduct periodic stock checks and audits.
3. Inventory Management:

Track and update stock status of fabrics/raw materials and finished goods.

Maintain reorder levels and raise alerts for low-stock items.

Coordinate with production teams to ensure timely availability of materials.
4. Documentation & Reporting:

Maintain purchase orders, delivery records, inventory logs, and communication logs with mills.

Prepare daily/weekly reports on incoming stock, pending deliveries, and inventory levels.

Work with internal teams (production, QC, accounts) to reconcile stock and delivery documents.
5. Logistics & Transport Follow-Up:

Coordinate with transport vendors for dispatch and delivery scheduling.

Ensure proper tracking of goods during transit from mill to warehouse or vice versa.

Resolve any transport-related delays or issues and keep all stakeholders informed.
6. Internal Communication:

Act as a bridge between mills, warehouses, production, and purchase departments.

Communicate lead times, expected delays, or special handling requirements to relevant teams.

Participate in planning meetings and update status of deliveries and stock availability.
Required Skills & Competencies:
1. Communication Skills:
-
Strong verbal and written communication skills in English, and preferably local language (Telugu, Hindi, or others based on region).

Ability to communicate clearly with suppliers, warehouse staff, and internal departments.
2. Coordination & Follow-Up:
-
Proactive in following up with multiple parties (mills, transporters, warehouse, production).

Ability to track multiple orders or consignments simultaneously and avoid delays.
3. Documentation & Record-Keeping:

Organized in maintaining PO records, delivery challans, and inward-outward stock details.

Familiarity with Excel, Google Sheets, or inventory software is a plus.
4. Problem Solving:

Quick thinking and ability to resolve delays, short shipments, or quality concerns.

Take initiative to escalate issues with practical suggestions.
5. Attention to Detail:

Accurate in checking quantities, batch codes, item specifications, and delivery slips.
