Job Overview:
We are seeking a proactive and detail-oriented individual to join our team as an Office Admin and Travel Support professional. This role is based in Chennai and will be responsible for ensuring smooth day-to-day office operations while also managing travel coordination for employees and leadership teams.
Travel Support:

Coordinate domestic and international travel arrangements (flights, hotels, ground transport)

Track travel expenses and support reimbursement processes
Key Responsibilities:
Office Administration:

Oversee general office operations including housekeeping, maintenance, and supplies

Manage front desk activities including phone calls, visitors, and courier handling
-
Maintain office records, vendor files, and internal documentation
-
Handle administrative support for HR, finance, and department heads as required

Ensure company policies and procedures are followed by staff and vendors

Monitor office infrastructure and liaise with facility management for repairs or upgrades

Track and manage office inventory including stationery, pantry items, ID cards, etc.
Travel Coordination & Support:

Plan and coordinate travel bookings for employees (flights, trains, cabs, hotels, visas, etc.)

Prepare detailed itineraries and travel documents for each trip

Liaise with travel agencies, hotels, airlines, and transport services for cost-effective arrangements

Track employee travel schedules and maintain travel expense records

Assist with visa processing, insurance, foreign exchange, and travel approvals

Manage emergency changes or cancellations with quick resolutions

Process travel reimbursements and work with accounts for settlement
Internal Support:

Schedule meetings, arrange conference rooms, and support event logistics

Support senior management in calendar planning and appointments (if needed)

Organize office events, celebrations, or off-site activities

Coordinate onboarding logistics for new employees – seating, system setup, ID cards
