JOB DESCRIPTION
Role Overview:
Provides moderately complex and advanced administrative assistance to a Director, Sr. Director, or above. Applies knowledge of industry standards in various administrative areas, including policies, guidelines, and procedures. Requires advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (SharePoint, MS Teams, OneDrive). Exercises professional and ethical judgment as work is generally of a critical or confidential nature. Assignments may span diverse functional areas.
Principal Duties and Responsibilities:
Provide advanced administrative support to Director/Sr. Director level and above.
Guide team on departmental/company policies and procedures.
Manage complex calendar needs for multiple leaders, including prioritization recommendations.
Handle office tasks such as iProc creation, P-card usage, maintaining files, supplies, equipment, submitting expense reports, and vendor tracking.
Coordinate advanced domestic and international travel (flights, hotels, rental cars), including visa/documentation requirements and expense reconciliation.
Screen, route, and respond to internal and external emails involving multiple senior stakeholders.
Arrange and coordinate complex meetings, luncheons, conferences, and team-building events (including external customers/vendors).
Identify and implement creative solutions to improve administrative efficiency.
Required Skills:
Advanced proficiency in Microsoft Office Suite and collaboration tools.
Strong organizational and multitasking skills.
Ability to handle confidential information with discretion.
Excellent communication and coordination abilities.
