Job Description
Key Responsibilities:
1. Office Management:
Oversee the daily operations of the office to ensure efficiency and productivity.
Manage office supplies and place orders for stationery, pantry items, or technical equipment as needed.
Coordinate with vendors and service providers (maintenance, housekeeping, courier, etc.).
Ensure cleanliness and safety protocols are maintained within the office premises.
2. Front Desk & Reception Duties (if required):
Greet and assist visitors, clients, and employees courteously.
Handle incoming calls, emails, and correspondence.
Maintain a visitor logbook and issue visitor passes if required.
3. Documentation & Filing:
Maintain proper filing of company documents (physical and digital), such as employee records, invoices, contracts, and official letters.
Assist in preparing letters, memos, meeting minutes, reports, or presentations.
Support audit preparation and ensure document compliance.
4. Meeting & Event Coordination:
Schedule and organize meetings, conferences, and internal events.
Manage calendars for managers or directors and arrange appointments.
Book meeting rooms and prepare materials, refreshments, and digital setup as needed.
5. Administrative Support:
Assist HR with onboarding, attendance, ID card issuance, and recordkeeping.
Support finance team with petty cash management, invoice tracking, and reimbursements.
Maintain employee leave records and timesheets using spreadsheets or HRMS tools.
Handle travel bookings, hotel reservations, and logistics for staff or guests.
6. Communication & Coordination:
Act as a point of contact between departments, staff, vendors, and external clients.
Draft internal communications such as notices, announcements, and event circulars.
Coordinate courier deliveries, post, and interoffice communication.
