Position Overview

An Office Admin, plays a central role in ensuring the smooth operation of day-to-day administrative and clerical activities within an organization. The role requires excellent organizational skills, attention to detail, and the ability to multitask efficiently in a dynamic office environment.

The ideal candidate will be proactive, dependable, and capable of managing office resources, supporting various departments, handling records, and communicating effectively with team members, vendors, and clients.

Key Responsibilities

1. General Office Administration

  • Manage and oversee daily office operations to ensure efficiency and effectiveness.

  • Organize, file, and maintain company records (both digital and physical).

  • Monitor and maintain office supplies and equipment, placing orders as needed.

  • Handle incoming and outgoing communications (emails, phone calls, couriers, etc.).

  • Supervise cleanliness and overall organization of the office premises.

2. Front Desk and Visitor Management

  • Greet and assist visitors, clients, and vendors in a courteous and professional manner.

  • Answer, screen, and route incoming calls to the appropriate departments.

  • Maintain the visitor register and ensure adherence to office access policies.

3. Staff Support and Coordination

  • Assist HR, finance, or operations departments with administrative tasks as needed.

  • Coordinate meetings, prepare agendas, and set up conference rooms.

  • Maintain internal calendars for meetings, interviews, appointments, and events.

4. Documentation and Record-Keeping

  • Prepare and maintain official documents, letters, reports, and memos.

  • Manage confidential files such as employee records, vendor agreements, etc.

  • Update and maintain administrative systems and databases accurately.

5. Procurement and Vendor Coordination

  • Liaise with external vendors and service providers (e.g., housekeeping, IT, courier, utilities).

  • Obtain quotations and manage basic procurement procedures.

  • Track office expenses, petty cash, and ensure timely vendor payments (in coordination with accounts).

6. Basic Accounting & Support

  • Assist in tracking office expenses, billing, and invoice verification.

  • Support data entry in accounting software (e.g., Tally or Excel) under the guidance of the accounts team.

  • Maintain petty cash records and reimbursements for office expenses.

7. Compliance and Policy Enforcement

  • Ensure that company policies and administrative procedures are followed.

  • Support compliance with legal, safety, and regulatory requirements within the office.

  • Assist in organizing and maintaining employee documentation for audit purposes.

Core Skills:

  • Communication: Strong written and verbal communication skills in English and local language.

  • Organization: Excellent multitasking, time management, and organizational abilities.

  • Computer Proficiency: Skilled in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Coordination: Ability to coordinate with multiple teams, departments, and vendors efficiently.

  • Record Keeping: Attention to detail in maintaining and managing office records and databases.

  • Professionalism: Ability to interact with clients, staff, and management with maturity and discretion.

  • Basic Accounts: Familiarity with accounting software like Tally and experience with invoicing/petty cash handling is a plus.
