Office Administrator
Job Description
Key Responsibilities:
1. Office Management & Coordination
-
Oversee the general administration of the office and maintain a clean, organized, and professional environment.

Act as the point of contact for internal staff, visitors, and vendors.
-
Manage office calendars, meeting schedules, and coordinate appointments for staff and leadership.
-
Handle incoming and outgoing courier services, post, and deliveries.
2. Administrative & Clerical Support
-
Maintain office filing systems – both electronic and physical.
-
Prepare and organize documentation such as reports, forms, invoices, and memos.
-
Manage incoming calls, emails, and correspondence and direct them to the concerned departments.

Assist in the preparation of presentations and official documents when needed.
3. Supplies & Asset Management
-
Maintain inventory of office supplies (stationery, pantry items, etc.) and reorder as needed.
-
Track and manage company assets like laptops, keys, ID cards, and printers.
-
Coordinate with vendors for maintenance, repairs, or supply orders.
4. HR & Attendance Support
-
Maintain attendance records and leave registers of employees.
-
Assist HR in organizing interviews, onboarding of new staff, and basic orientation.
-
Collect and maintain employee documentation and ensure confidentiality.
5. Accounting & Billing Support (Basic)
-
Maintain petty cash and handle small office expenses.
-
Prepare and process bills, vendor payments, and utility payments.
-
Coordinate with the accounts department for reimbursement, payroll, and vendor invoices.

Maintain logs for expenses and support monthly reporting.
6. Communication & Reporting
-
Prepare daily, weekly, or monthly reports as requested by management.

Draft professional emails, circulars, and notices.
-
Ensure effective communication across departments regarding events, policies, or updates.
Required Skills:

Proficient in MS Office (Excel, Word, Outlook)

Strong verbal and written communication in English and local language

Ability to manage and prioritize multiple tasks

Time management and organizational skills

Knowledge of office machines like printers, scanners, etc.

Basic understanding of accounts or record-keeping
