Job Summary
We are looking for a highly organized and proactive Office Administrator to manage day-to-day office operations and ensure smooth workflow across all departments. This role requires strong communication skills, excellent time management, and the ability to handle a variety of administrative and clerical tasks.
The ideal candidate should be able to multitask, work independently, and maintain professionalism while dealing with clients, employees, and external partners. Freshers with good communication skills and a willingness to learn are also welcome to apply, though prior office administration experience will be an advantage.
Key Responsibilities
1. Communication Management

Answer incoming calls promptly and professionally.

Transfer calls or take accurate messages and ensure timely follow-up.

Greet and assist visitors, clients, and vendors.

Handle internal communication between departments to ensure smooth operations.

Draft and respond to official emails in a clear, professional tone.
2. Office Management

Oversee general office maintenance and cleanliness.

Coordinate with vendors for office supplies, repairs, and service requirements.

Maintain office records, files, and documentation.

Ensure all office equipment (phones, printers, computers) is functional.
3. Data Entry & Record Keeping

Enter and update data accurately in company systems and spreadsheets.

Maintain employee attendance records and other administrative logs.

Organize both digital and physical filing systems for easy retrieval of information.
4. Advertising & Promotion Support

Assist in preparing and posting job advertisements on portals and social media.

Support the marketing team in executing promotional activities.

Maintain a record of advertising expenses and response rates.
5. Administrative Support

Schedule and coordinate meetings, appointments, and events.

Prepare reports, presentations, and meeting materials when required.

Assist in handling basic HR administrative functions like interview scheduling.

Maintain confidentiality of sensitive information at all times.
Skills & Qualifications
Education:

Minimum Higher Secondary (12th pass) required; Graduation preferred.
Experience:

Freshers can apply; prior experience in office administration or clerical experience will be an advantage.
Skills:

Proficient in MS Office (Word, Excel, Outlook) and basic computer operations.

Strong verbal and written communication skills.

Good organizational and time management abilities.

Accuracy and attention to detail in data entry and filing tasks.
