Job Description

To send introductions to the clients.  
Prepare quotations  proforma invoice and follow up.   
Following up payment with the customers. 
To attend phone calls.  
To co-ordinate with marketing people as and when require.  
Any  Other clerical work as decide by the management. 

Key Responsibilities:

  1. Administrative Support:

    • Provide administrative assistance to senior management and staff as needed.

    • Schedule and coordinate meetings, appointments, and travel arrangements.

    • Prepare and manage documents, presentations, and reports for meetings or management review.

    • Handle incoming phone calls, emails, and correspondence, ensuring all inquiries are directed appropriately.

  2. Office Management:

    • Oversee the day-to-day operations of the office, ensuring everything runs smoothly.

    • Maintain and manage office supplies, ensuring stock is always adequate.

    • Organize and maintain filing systems, both physical and digital, for easy retrieval.

    • Ensure that office equipment (e.g., printers, copiers) is in working order and arrange repairs when necessary.

    • Maintain office cleanliness and ensure that the office environment is welcoming and well-organized.

  3. Communication and Coordination:

    • Serve as the primary point of contact for office visitors, clients, and vendors.

    • Coordinate and manage office events, including team-building activities, meetings, and company-wide events.

    • Act as a liaison between various departments, helping to facilitate communication and resolve any administrative issues.

  4. Data Entry and Record Keeping:

    • Input data into company databases and systems accurately and efficiently.

    • Maintain accurate records of all financial transactions, receipts, invoices, and other important documentation.

    • Ensure compliance with company policies and procedures in all administrative tasks.

  5. Human Resources Support:

    • Assist with onboarding new employees, including preparing workstations, handling orientation, and ensuring all necessary documentation is completed.

    • Help with timekeeping, payroll processing, and attendance records.

    • Coordinate employee benefits, holidays, and leave requests.

  6. Financial Administration:

    • Assist with basic bookkeeping tasks such as managing office budgets, processing invoices, and keeping track of expenses.

    • Handle petty cash and make necessary office-related purchases within the set budget.

  7. Problem Solving and Issue Resolution:

    • Address office-related problems or concerns and find effective solutions, whether it’s related to supplies, equipment, or internal procedures.

    • Ensure that all administrative processes are running efficiently and improve office systems as needed.

  8. Health and Safety Compliance:

    • Ensure the office is in compliance with relevant health and safety regulations.

    • Implement and monitor safety protocols to ensure a secure and safe working environment for all employees.
