Job Summary

The Office Administrator is responsible for overseeing and coordinating the daily operations of the office, ensuring organizational efficiency. The role includes managing attendance, vendor purchases, shipping and courier services, as well as travel and expense management.

Key Responsibilities:

  • Attendance Management:
    • Monitor and maintain accurate attendance records for all employees.
    • Ensure compliance with company policies on work hours and leave management.
    • Generate regular attendance summaries for HR and management.
  • Travel and Expense Management:
    • Review, verify, and process employee travel bills and reimbursements.
    • Ensure adherence to company travel policies and budgets.
    • Coordinate with the finance team for timely reimbursements.
  • Vendor Coordination:
    • Manage vendor relationships for office supplies, materials, and equipment.
    • Negotiate terms, issue purchase orders, and ensure timely deliveries.
    • Maintain organized records of vendor agreements and transactions.
  • Shipping and Courier Management:
    • Oversee the packing, dispatch, and shipment of materials to customers.
    • Coordinate with courier services and logistics providers to ensure timely deliveries.
    • Track shipments and provide customers with delivery updates.
    • Handle customer inquiries related to shipments and resolve issues promptly. 
  • Office Operations:
    • Ensure the smooth functioning of office equipment and maintain supply levels.
    • Address operational issues promptly to avoid workflow disruptions.
    • Implement and enforce office safety and organizational policies.
  • Administrative Support:
    • Maintain organized filing systems for documents (both digital and physical).
    • Support HR with onboarding
