Position Summary
We are seeking a motivated, detail-oriented, and organized Office Assistant to support our team in delivering outstanding client service and managing day-to-day administrative functions. This position plays a key role in the onboarding of new clients, nurturing existing client relationships, supporting our digital marketing efforts, and assisting with community outreach initiatives.

Key Responsibilities
1. Client Onboarding and Relationship Management

Serve as the first point of contact for new clients via phone, email, or in-person meetings.

Assist in setting up initial consultations, onboarding meetings, and client intake procedures.

Prepare and send welcome kits, contracts, documentation packets, and company materials.

Input and update client information into CRM or database systems.

Ensure new clients receive timely follow-ups and ongoing support during their onboarding period.

Track onboarding progress and report updates to relevant team members.

Maintain ongoing communication with existing clients to ensure satisfaction, answer inquiries, and resolve concerns promptly.

Support account managers or sales representatives with client engagement and retention efforts.

Assist in collecting client feedback and preparing summary reports to identify areas for improvement.
2. Office Administrative Support

Manage daily administrative tasks, including answering phones, responding to emails, organizing files, and scheduling meetings.

Maintain a clean, organized, and welcoming office environment for staff and visitors.

Order and manage office supplies, promotional materials, and client gifts as needed.

Assist with preparing reports, presentations, or internal communications.

Organize and maintain digital and paper filing systems, ensuring confidentiality and compliance with company policies.

Support bookkeeping or billing staff with invoice tracking, receipts, and client billing records as required.
3. Digital Marketing Support

Collaborate with the marketing team to execute digital marketing campaigns across social media, email, and web platforms.

Assist with content scheduling and post creation for platforms such as Instagram, Facebook, LinkedIn, and Twitter.

Help manage and maintain email marketing lists, segmentation, and campaign tracking.

Support the creation of blog posts, newsletters, or marketing materials by proofreading or formatting content.

Monitor engagement metrics such as likes, shares, email open rates, and report data to the marketing team.

Conduct basic competitor or market research to inform content and campaign strategies.

Assist in responding to online inquiries, messages, or comments on digital platforms in a professional tone.
4. Local Outreach and Community Engagement

Support the planning, coordination, and execution of local events, workshops, or networking opportunities.

Research and identify local businesses, organizations, or community groups for potential partnership or outreach.

Help distribute flyers, event materials, or promotional content in the community or through mail campaigns.

Assist in scheduling and preparing for local presentations or pop-up events.

Maintain a calendar of local events, sponsorships, and outreach opportunities relevant to company objectives.
