Job Description
Position Summary:
We are seeking a reliable, organized, and proactive Office Assistant to support the smooth functioning of our office operations. The Office Assistant will handle a variety of administrative and clerical tasks to ensure efficiency, effective communication, and a well-maintained work environment.
This role is ideal for someone with strong multitasking abilities, attention to detail, and good interpersonal skills. You will assist different departments by managing documentation, coordinating schedules, and performing general office duties to facilitate daily business processes.
Key Responsibilities:

Perform general clerical duties including answering phones, greeting visitors, handling incoming and outgoing mail, and managing office correspondence.

Maintain and organize office files, records, and databases both physically and digitally.

Schedule and coordinate meetings, appointments, and conference calls, managing calendars for supervisors or teams as needed.

Prepare and distribute internal communications such as memos, emails, and notices.

Assist in the preparation of reports, presentations, and documentation by collecting data, typing, and formatting materials.

Manage office supplies inventory by monitoring stock levels, placing orders, and ensuring proper storage.

Support accounting tasks such as invoice processing, petty cash management, and expense tracking.

Coordinate with vendors, service providers, and facility management for office maintenance and repairs.

Ensure the office environment is clean, organized, and welcoming, including coordinating housekeeping and facility services.

Assist with onboarding of new employees by preparing workstations, issuing access cards, and providing basic orientation.

Handle travel arrangements and expense claims for staff as required.

Support ad hoc administrative projects and tasks assigned by supervisors or management.
