Job Description
Key Responsibilities:
1. Administrative Support:

Answer and direct phone calls, take messages, and provide information to staff or clients.

Manage and schedule appointments, meetings, and travel arrangements for team members and management.

Organize and maintain office files, both paper and digital, ensuring they are easily accessible.

Prepare and proofread documents, correspondence, reports, and other materials as required.

Assist in drafting and sending internal and external communications, including emails and letters.

Order office supplies, monitor inventory levels, and ensure all office materials are stocked and organized.
2. Office Organization and Maintenance:
-
Maintain a clean and organized office environment by ensuring workspaces are tidy and supplies are properly stored.

Ensure the office is adequately equipped with necessary tools, supplies, and equipment, keeping the office environment conducive to productivity.

Oversee the cleaning staff and ensure that the office is in a presentable condition at all times.
3. Reception Duties:
-
Greet and assist visitors, clients, and vendors in a polite and professional manner.
-
Direct visitors to the appropriate person or department, ensuring their needs are met.

Maintain a visitor log and ensure security procedures are followed.
4. Data Entry and Record Keeping:
-
Maintain and update various databases, files, and documents in an organized manner.

Perform data entry tasks such as entering employee attendance, tracking expenses, and recording meetings and notes.

Assist in maintaining employee records and ensuring that confidential information is handled with care.
5. Handling Correspondence:
-
Sort, open, and distribute incoming mail and packages to the appropriate staff members.

Prepare outgoing mail, ensuring documents are correctly packaged and labeled.
6. Supporting Departmental Tasks:
-
Assist various departments with special projects or daily tasks as needed.

Provide support in organizing office events, meetings, and workshops.

Assist in compiling reports, presentations, and other documents for internal and external purposes.
7. Financial and Billing Support:
-
Assist in handling and processing invoices, receipts, and other financial documentation.

Ensure that office expenses are tracked and assist in submitting expense reports as directed.
8. IT Support and Equipment Management:

Assist in basic troubleshooting of office equipment (computers, printers, fax machines, etc.).

Coordinate with external vendors or the IT department for more technical issues.
9. Other Administrative Tasks:

Perform general office duties such as photocopying, scanning, filing, and faxing.

Assist in the organization and coordination of events, conferences, and meetings.
