Office Assistant
Job Description
Key Responsibilities:
1. General Administrative Support:

Perform routine clerical duties including photocopying, scanning, faxing, and filing documents.

Prepare and manage office correspondence such as emails, letters, memos, and reports.

Maintain and update company databases, both physical and digital, ensuring accuracy and confidentiality.

Organize and maintain office supplies inventory by checking stock and ordering new materials as needed.

Ensure the office environment is clean, orderly, and well-maintained.
2. Reception and Communication:

Greet visitors, clients, and vendors professionally and courteously.

Answer and direct incoming phone calls, taking messages or providing information as necessary.

Manage the office email inbox and respond to general inquiries or forward messages to appropriate personnel.

Coordinate internal and external communications, scheduling meetings, and managing calendars for supervisors or teams.
3. Scheduling and Coordination:
-
Schedule appointments, meetings, and events, ensuring no conflicts and timely communication.

Coordinate logistics for meetings such as room bookings, arranging refreshments, and preparing necessary materials.

Assist in organizing company events, workshops, or training sessions.

Handle travel arrangements including booking flights, accommodation, and transportation for employees.
4. Documentation and Record-Keeping:

Maintain accurate and organized filing systems for contracts, invoices, employee records, and other important documents.

Assist with data entry tasks, maintaining spreadsheets, and preparing reports for management.

Support HR with employee onboarding documentation and record maintenance.

Handle confidential information with discretion and maintain data security protocols.
5. Financial and Procurement Assistance:

Assist with basic bookkeeping tasks such as processing invoices, expense reports, and purchase orders.

Coordinate with vendors and suppliers regarding orders, payments, and deliveries.

Track office expenses and report discrepancies or budget concerns to management.
6. Support to Teams and Management:

Provide administrative assistance to various departments as needed.

Support project teams by preparing materials, coordinating schedules, and facilitating communication.

Assist management with special projects, presentations, and correspondence.
