Job Summary:
We are looking for an organized, proactive, and detail-oriented Office Assistant to support the day-to-day operations of our office. The Office Assistant will provide administrative and clerical support, manage office supplies, assist with scheduling, and handle various office tasks to ensure smooth and efficient office operations. Key Responsibilities:

Administrative Support:

Assist in managing office tasks, including filing, data entry, and document management.

Organize and maintain office files, records, and documents in both digital and physical formats.

Schedule meetings, appointments, and conference calls for staff members or managers.

Prepare and organize reports, presentations, and other materials as needed.

Communication:

Handle incoming calls, emails, and correspondence, and direct them to the appropriate staff members.

Greet and assist visitors, ensuring they are properly directed to the right department or individual.

Communicate effectively with internal and external stakeholders, ensuring a positive and professional office environment.

Office Organization:

Ensure that the office is well-maintained, clean, and organized at all times.

Manage and order office supplies, stationery, and other necessary materials.

Maintain inventory of office supplies and ensure timely replenishment when needed.

Ensure office equipment (printers, fax machines, computers, etc.) are working properly and report any issues to the maintenance team.

Document Management:

Help prepare, edit, and format documents and reports for distribution.

Assist in preparing and proofreading documents such as letters, contracts, and memos.

Maintain and update employee contact lists, scheduling calendars, and other organizational data.

Support for Team Members:

Provide support to senior managers or other team members by managing appointments, schedules, and travel arrangements.

Assist in organizing office events, meetings, or conferences.

Help with the coordination of projects by tracking deadlines, providing updates, and ensuring project timelines are followed.

General Office Duties:

Monitor and maintain office equipment and supplies, making sure everything is in working order.

Perform basic bookkeeping tasks such as maintaining petty cash and processing invoices.

Assist with office-based tasks such as photocopying, scanning, and faxing documents.

Perform other office duties as requested by senior management.
