We are looking for a highly organized and detail-oriented Office Assistant to provide administrative support to our office staff and ensure the smooth day-to-day operations of the workplace. Key Responsibilities:

1. General Administrative Support:

  • Assist with routine office functions including managing correspondence, preparing reports, photocopying, and scanning documents.

  • Maintain office supplies inventory by checking stock levels and ordering new items when necessary.

  • Help organize and schedule appointments, meetings, and events, including room bookings and refreshments if needed.

2. Reception and Communication:

  • Answer and direct incoming calls in a courteous and professional manner.

  • Greet and assist visitors, clients, or vendors arriving at the office.

  • Manage incoming and outgoing mail and packages; ensure timely delivery or distribution.

  • Draft and send professional emails, memos, and letters on behalf of the management or team members.

3. Record Management and Documentation:

  • Maintain accurate records of office expenses, invoices, receipts, and other important documentation.

  • Assist in the preparation and formatting of reports, presentations, and other business documents.

  • Ensure that all files are labeled, organized, and stored securely following data protection protocols.

  • Help with monthly or quarterly audits by organizing and submitting documentation to the relevant departments.

4. Coordination and Team Support:

  • Coordinate with internal departments to share necessary documents and support communication.

  • Help onboarding new employees by preparing workstations, organizing orientation materials, and providing basic training on office procedures.

  • Liaise with external service providers, vendors, and maintenance personnel to resolve issues or facilitate services like repairs or cleaning.

5. Office Maintenance and Cleanliness:

  • Monitor cleanliness of common office areas such as meeting rooms, pantry, and restrooms, and notify housekeeping or janitorial staff when attention is needed.

  • Ensure office equipment (printers, copiers, telephones) is functioning and call for service or repairs when necessary.

6. Support During Events and Meetings:

  • Assist with organizing internal and external events including team gatherings, training sessions, or client meetings.

  • Prepare meeting agendas, take minutes during meetings, and follow up on action items as directed by the supervisor.
