Job Description
Key Responsibilities:
1. Administrative and Clerical Support

Provide day-to-day support to the office team including data entry, filing, photocopying, scanning, printing, and maintaining records.

Draft and edit documents such as memos, reports, invoices, and internal communication.

Handle incoming and outgoing correspondence (emails, letters, couriers) and ensure timely delivery or dispatch.
-
Maintain up-to-date filing systems (both digital and paper) for easy retrieval of documents.
2. Reception and Front Desk Duties
-
Greet visitors and clients in a professional and friendly manner.

Answer incoming phone calls, redirect them to relevant departments, or take messages.

Maintain visitor logs and ensure guests are provided with basic assistance or refreshments.
3. Office Coordination and Logistics
-
Monitor office supplies and reorder items as needed (stationery, pantry stock, printer materials, etc.).

Coordinate with vendors for maintenance, deliveries, and repairs of office equipment.

Assist in organizing internal meetings by setting up meeting rooms, preparing materials, and ensuring necessary equipment is available.

Support in maintaining the cleanliness and organization of office common areas.
4. Documentation and Recordkeeping

Maintain employee records, invoices, bills, receipts, delivery notes, and any office-related documentation in an organized manner.

Assist the HR/Admin team in managing attendance records, leave applications, and timesheets.

Help prepare monthly reports for expenses, inventory, and operational support metrics.
5. Support for Accounts or HR Department

Assist in preparing payment vouchers, invoice summaries, and petty cash records.

Help in collecting, verifying, and organizing employee data, ID card processing, or document verification as needed.

Provide support in arranging staff onboarding materials, welcome kits, and office tour for new joiners.
6. Miscellaneous Tasks
-
Run errands as required (e.g., collecting documents, going to the bank or courier service).

Coordinate with housekeeping staff to ensure office hygiene and cleanliness is maintained.

Assist in organizing events, employee activities, or client visits when necessary.

Provide support to other departments as assigned by the reporting manager.
