Job Description

Position Summary:

The Office Assistant plays a key role in ensuring the smooth and efficient functioning of an office environment. This role involves performing a variety of administrative and clerical tasks, acting as the first point of contact for internal and external inquiries, and supporting daily office operations.

The ideal candidate should be organized, reliable, and proactive, with basic computer knowledge and excellent communication skills. They must be capable of multitasking while maintaining a high level of professionalism and attention to detail.

Key Responsibilities:

Front Desk & Communication:

  • Answer incoming phone calls in a professional and courteous manner.

  • Greet visitors, clients, or vendors and direct them to the appropriate departments or personnel.

  • Manage email communication, receive and respond to basic inquiries.

  • Handle incoming and outgoing mail, packages, and courier documentation.

Administrative Support:

  • Schedule and coordinate meetings, appointments, and conference calls.

  • Prepare meeting rooms, maintain calendars, and ensure meeting materials are ready.

  • Assist in documentation, filing, and organizing physical and digital records.

  • Type letters, memos, reports, and other documents as instructed by supervisors.

Office Supplies & Inventory:

  • Monitor and manage office supplies such as stationery, paper, printer cartridges, etc.

  • Maintain inventory records and place orders for replenishment as needed.

  • Coordinate with vendors for office equipment servicing or restocking.

Recordkeeping & Data Entry:

  • Maintain files, databases, and records of staff, clients, or general office transactions.

  • Enter data into spreadsheets, maintain logs, and generate basic reports when required.

  • Ensure confidential documents are filed securely and data is handled per company policy.

Support to Other Staff:

  • Assist other staff with printing, scanning, or organizing documents.

  • Help HR, accounts, or operations with basic clerical work (photocopying, collating, etc.).

  • Support departments with documentation or errands during peak work periods.

Coordination & General Upkeep:

  • Coordinate maintenance of office equipment (printers, air conditioners, coffee machines).

  • Ensure cleanliness and organization of the reception, meeting rooms, and common areas.

  • Work with housekeeping and facility staff to maintain a professional work environment.

Required Skills & Competencies:

Communication Skills:

  • Good verbal and written communication in English and local languages.

  • Friendly and professional telephone and in-person etiquette.

  • Ability to interact effectively with staff, clients, and service providers.

Computer Skills:

  • Basic proficiency in MS Office tools: Word, Excel, and Outlook

  • Comfortable with data entry, internet searches, and using office equipment (printers, scanners)

Organizational Abilities:

  • Strong attention to detail

  • Ability to prioritize tasks and manage time efficiently

  • Maintain confidentiality and handle sensitive information responsibly

Interpersonal Qualities:

  • Polite, well-groomed, and respectful in interactions

  • Willingness to help colleagues and work as part of a team

  • Punctual, dependable, and proactive in completing duties
