Position Summary
We are looking for a motivated and organized Office Assistant to support our day-to-day business operations. The ideal candidate will assist in managing eCommerce orders, updating social media accounts, performing general computer work, and communicating with customers through calls, messages, or email.
This role is ideal for someone who is detail-oriented, tech-savvy, and enjoys multi-tasking in a dynamic office or retail environment. The Office Assistant will play an essential part in ensuring smooth back-end operations and a positive customer experience.
Key Responsibilities
1. eCommerce Order Management

Monitor and process daily online orders received through platforms such as Shopify, Amazon, Flipkart, Meesho, or the company’s website.

Generate shipping labels, invoices, and packing slips.

Coordinate with the warehouse or packing staff to ensure timely order dispatch.

Track orders and update customers regarding delivery timelines, returns, or delays.

Maintain inventory records and alert the team on low-stock products.
2. Social Media Support

Post and schedule content on platforms such as Instagram, Facebook, and WhatsApp Business.

Respond to customer comments, messages, and inquiries through social media.

Assist in creating promotional graphics or captions using basic design tools (Canva, etc.).

Monitor engagement and share insights with the team.
3. Customer Service and Communication

Handle inbound customer calls, emails, and WhatsApp messages related to products, orders, returns, or complaints.

Speak politely and professionally to build customer trust and satisfaction.

Resolve issues or forward technical/critical concerns to the concerned department.

Maintain a record of all customer interactions for tracking and follow-up.
4. General Computer & Office Work

Maintain and update Excel sheets, stock records, sales reports, and customer databases.

Print documents, scan files, and maintain basic filing systems.

Assist in data entry for product listings, descriptions, prices, or codes on eCommerce platforms.

Help prepare reports and presentations as needed by management.
5. Administrative Support

Coordinate with couriers and logistics providers for pickup and delivery schedules.

Keep office supplies organized and inform the manager when reordering is needed.

Ensure the office environment remains clean, organized, and professional.

Support other departments with basic clerical tasks as required.
