Job Description

Job Summary:

We are looking for a reliable and proactive Office Assistant to help manage day-to-day administrative tasks, assist the office team, take phone calls, and maintain office records. The ideal candidate should have good verbal and written communication skills, be well-organized, and capable of handling tasks efficiently.

This is an excellent opportunity for both freshers and experienced individuals looking to start or grow their careers in office administration and general support roles.

Key Responsibilities:

1. Office Management & Support

  • Assist in routine office work such as filing, photocopying, scanning, and document handling

  • Maintain proper records of documents, office files, and internal forms

  • Support staff in preparing letters, reports, and basic data entry in MS Word/Excel

  • Help ensure smooth day-to-day functioning of the office

2. Communication Handling

  • Answer incoming phone calls politely and transfer them to the relevant department or take messages

  • Make outbound calls when needed for follow-ups or coordination

  • Maintain a log of incoming/outgoing calls if required

3. Visitor Management

  • Greet visitors and clients professionally

  • Guide visitors to the appropriate department or person

  • Provide basic information about the organization and respond to inquiries

4. Record Keeping

  • Maintain and update registers (visitor logs, courier in/out, stock register, etc.)

  • Keep accurate records of office supplies, documents, or data entries

  • Support in inventory checks and report shortages to the admin or manager

5. Coordination & Reporting

  • Coordinate with departments for office-related tasks and errands

  • Assist with scheduling meetings, preparing meeting rooms, and handling follow-ups

  • Report daily work updates to the reporting manager

Skills & Competencies Required:

  • Strong verbal communication in English and local language (Kannada, Hindi preferred)

  • Good written communication skills for emails and reports

  • Basic computer knowledge – MS Office (Word, Excel), email, internet

  • Time management and ability to multitask

  • Friendly and professional attitude

  • Willingness to learn and take responsibility
