Job Description
Job Summary:
We are seeking a proactive and detail-oriented Office Assistant with strong computer skills and sales coordination experience, preferably in the real estate sector. The ideal candidate should be capable of managing office operations, supporting the sales and marketing team, maintaining accurate client and property databases, and assisting with digital and offline marketing efforts.
This role is best suited for individuals who are organized, tech-savvy, and capable of multitasking in a fast-paced, dynamic office. Prior experience in real estate coordination or marketing is a strong advantage. Candidates will also be eligible for performance-based sales incentives.
Key Responsibilities:
1. Office & Administrative Support:

Handle daily office operations, including correspondence, file management, scheduling, and follow-ups.

Maintain an organized and clean workspace for efficient team collaboration.

Coordinate meetings, calls, and property site visits for clients and the sales team.

Manage incoming calls, inquiries, and visitor walk-ins professionally and redirect to relevant staff.
2. Sales Coordination:

Maintain a database of leads, clients, site visits, and follow-ups using CRM or spreadsheets.

Prepare and share client proposals, brochures, and quotations on time.

Coordinate between clients, field agents, and the internal team for seamless sales follow-through.

Track the progress of potential deals and prepare weekly sales status reports.

Support the documentation process for booking forms, agreements, and payment schedules.
3. Real Estate Marketing Assistance:

Post and update property listings on portals such as 99acres, MagicBricks, Housing.com, and social media platforms.

Assist in designing and distributing flyers, brochures, and digital campaigns using Canva, MS PowerPoint, or basic design tools.

Help in organizing property exhibitions, open house events, or other marketing activities.

Coordinate with graphic designers, digital agencies, or printing vendors for marketing materials.
4. Data & Database Management:

Update and maintain accurate data records of clients, brokers, properties, site visit logs, and inventory.

Ensure all databases (Excel sheets, CRM, or custom platforms) are up to date with correct property details, prices, and customer statuses.

Generate MIS reports and provide administrative support for sales performance tracking.
5. Communication & Client Handling:

Follow up with potential clients via phone, email, or WhatsApp for appointments, documentation, or feedback.

Maintain a professional tone in all client-facing communication.

Help manage after-sales service queries or client grievances until they are resolved.
