Job Description
Key Responsibilities:
Administrative Support:

Answer, screen, and direct incoming phone calls in a professional manner.

Greet visitors and ensure they are attended to appropriately.

Handle incoming and outgoing correspondence including mail, emails, and courier packages.
Clerical Duties:

Organize and maintain physical and digital filing systems.

Perform data entry, record updates, and maintain office records.

Assist in preparing documents, reports, memos, and presentations.
Scheduling & Coordination:
-
Schedule meetings, appointments, and conference room bookings.

Assist in coordinating travel arrangements and preparing expense reports.

Support planning of office events, meetings, or team activities.
Office Maintenance & Supplies:
-
Monitor and maintain inventory of office supplies and place orders as needed.

Ensure the office area is tidy and well-organized at all times.

Liaise with vendors and service providers when necessary (e.g., repairs, deliveries).
Support to Staff & Departments:
-
Assist colleagues with clerical and minor administrative tasks.

Provide support during onboarding for new employees (e.g., workstations, paperwork).

Handle special tasks and projects as assigned by the Office Manager or senior staff.
Skills & Competencies:
-
Strong communication skills (verbal and written).
-
Excellent organizational and multitasking abilities.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Basic knowledge of office equipment (printer, scanner, photocopier).

Reliable, proactive, and able to maintain confidentiality.
