Job Description

Job Summary:

We are seeking a reliable, detail-oriented, and proactive Office Assistant to support the day-to-day operations of our office and administrative team. The Office Assistant plays a key role in ensuring the smooth functioning of office activities, providing clerical and administrative support, and maintaining an organized and professional environment.

This role involves a variety of tasks including data entry, handling correspondence, assisting in scheduling meetings, maintaining office supplies, supporting other departments with routine tasks, and helping to create a positive and productive workplace.

Key Responsibilities:

Administrative Support

  • Provide general administrative and clerical support including mailing, scanning, faxing, and copying to management.

  • Assist in maintaining physical and digital filing systems, ensuring documents are properly stored and easily retrievable.

  • Answer and direct phone calls in a polite and professional manner, take messages, and forward them to the appropriate staff members.

  • Greet visitors, clients, and staff, creating a friendly and welcoming atmosphere in the office.

Office Coordination

  • Monitor office supplies and place orders when necessary to ensure adequate stock of essentials.

  • Coordinate office maintenance and repair requests with building management or relevant vendors.

  • Help maintain cleanliness and organization in shared spaces such as meeting rooms, break areas, and reception areas.

  • Assist in managing incoming and outgoing mail, packages, and courier deliveries.

Meeting and Scheduling Assistance

  • Help schedule meetings and appointments and ensure meeting rooms are reserved and prepared in advance.

  • Set up video calls or conference calls and distribute meeting agendas or materials as needed.

  • Record minutes during meetings (if required) and follow up on action items.

Data Entry and Document Management

  • Accurately input data into spreadsheets, databases, or CRM systems as directed.

  • Prepare documents such as reports, memos, invoices, forms, and other communications.

  • Assist with proofreading and formatting documents to meet company standards.

Internal Communication and Support

  • Serve as a liaison between departments to help coordinate tasks and share updates.

  • Support HR, finance, and other teams with routine tasks such as onboarding new employees, assisting with timesheets, or organizing records.

  • Help coordinate internal events, employee celebrations, or office-wide communications when needed.

Required Skills and Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree in business administration or a related field is a plus.

  • Proven experience in an office assistant, administrative assistant, or receptionist role is preferred.

  • Strong computer skills, including proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.

  • Excellent verbal and written communication skills.

  • Strong organizational skills and attention to detail.

  • Ability to handle sensitive and confidential information with discretion.

  • Punctual, dependable, and capable of working both independently and as part of a team.

  • Ability to multitask and manage time effectively in a fast-paced environment.
