Hiring Office Assistant for Teynampet location.

Key Responsibilities
1. Administrative Support

Assist in routine administrative tasks such as photocopying, scanning, and filing documents.

Manage incoming and outgoing mail, packages, and emails.

Answer and direct phone calls to the appropriate department or person.

Maintain office supplies inventory and place orders when necessary.
2. Front Desk Operations

Welcome visitors, clients, or vendors and direct them appropriately.

Maintain visitor logs and security protocols for guests entering the premises.

Respond to general inquiries or refer them to appropriate personnel.
3. Recordkeeping and Data Entry
-
Enter and update data in spreadsheets, databases, or software systems.

Organize and maintain paper and electronic filing systems.

Prepare reports, forms, letters, and memos as requested by supervisors.
4. Meeting Coordination
-
Schedule appointments, meetings, and conference calls.
-
Reserve meeting rooms and ensure they are properly set up.

Prepare agendas, take meeting minutes, and distribute summaries if required.
5. Documentation and Filing
-
Ensure all office documents are properly stored, archived, or disposed of according to company policy.

Organize confidential files with discretion and accuracy.

Help compile reports or documents for internal or external audits.
6. Communication and Coordination

Coordinate communication between departments and external contacts.

Deliver internal messages or notices to relevant staff members.
-
Support management with reminders and task follow-ups.
7. Facility and Equipment Management

Report issues related to office maintenance, such as electricity, plumbing, or internet service.

Assist in maintaining printers, copiers, projectors, and other office equipment.

Keep workspaces, reception areas, and meeting rooms clean and organized.
