Overview
We are seeking a responsible and well-organized Office Assistant to ensure the smooth day-to-day operational functioning of the office. The ideal candidate will have experience with medical billing software, knowledge of medicinal packing, and proficiency in Microsoft Office tools (especially Excel and PowerPoint) for data management and presentation. This role requires accuracy, time management, and the ability to handle both digital and manual documentation efficiently.
Key Responsibilities
1. Office Operations & Coordination

Assist with the day-to-day operational tasks to ensure the office runs smoothly and efficiently.

Coordinate with various departments for administrative and operational support.

Ensure office supplies and basic equipment are stocked and functioning.
2. Medical Billing & Documentation

Use medical billing software to process invoices, insurance claims, and patient billing records accurately.

Maintain confidentiality and accuracy of sensitive medical and billing information.

Ensure all billing records are updated on a daily basis and filed properly.
3. Medicinal Packing Support

Assist in packing of medicinal items as per company standards and safety protocols.

Label and organize medical packages correctly for dispatch or in-house use.

Maintain proper hygiene and handling procedures while dealing with medicinal products.
4. Data Entry and Record Management

Perform daily data entry tasks in Microsoft Excel, including maintaining updated patient, billing, and inventory records.

Create PowerPoint presentations to summarize reports or trends for internal meetings.

Ensure up-to-date, accurate entry of data into computer systems and relevant software tools.

Maintain manual registers, logs, and backup of essential documents as required.
5. Filing and Documentation

Organize and maintain both physical and digital filing systems for records, invoices, and correspondence.

Ensure proper categorization and easy retrieval of documents.

Follow systematic filing procedures to support audits or inspections.
Skills and Competencies

Proficient in Microsoft Office Suite – especially Excel (data entry, formulas) and PowerPoint.

Familiarity with medical billing software (training can be provided if needed).

Basic knowledge of medicinal packing procedures and hygiene standards.

Good organizational and multitasking skills.
