Job Description
Key Responsibilities:
1. Administrative Support

Assist office staff with administrative tasks such as photocopying, scanning, filing, and document preparation.

Handle incoming and outgoing mail and deliveries, ensuring timely distribution and accurate logging.

Maintain paper and electronic filing systems to ensure easy access and security of company records.

Assist with data entry, spreadsheet updates, and basic database management.
2. Front Office & Communication
-
Greet and direct visitors, clients, or vendors to the appropriate person or department.

Answer incoming phone calls, take messages, and redirect calls as needed.

Monitor and manage the office email inbox and respond to general inquiries.

Schedule appointments, meetings, and conference room bookings for staff.
3. Office Supplies and Inventory Management
-
Monitor and maintain office supply inventory; reorder items as needed to avoid shortages.

Keep records of purchases and expenses related to office maintenance and supplies.
-
Coordinate with vendors and service providers for office-related purchases, maintenance, and equipment servicing.

Ensure common areas such as meeting rooms, kitchenettes, and reception areas are clean, well-stocked, and presentable.
4. Event and Meeting Support

Provide support in organizing company meetings, conferences, and internal events.

Set up meeting rooms with necessary equipment, refreshments, and documents prior to scheduled events.

Take meeting notes or minutes when required and distribute them to relevant participants.
5. Document and Record Management

Maintain employee records, attendance registers, and visitor logs accurately and securely.

Assist HR or department managers with basic documentation such as onboarding paperwork, forms, and internal memos.

Ensure confidential documents are handled with discretion and in compliance with company policy.
6. General Office Upkeep
-
Ensure all office equipment (printers, copiers, fax machines, etc.) are functional; report issues promptly for maintenance.

Coordinate minor facility maintenance tasks and liaise with building management or vendors when necessary.

Help maintain compliance with health, safety, and cleanliness standards across the office premises.
